Escuela Avancemos Academy is Hiring a School Office Manager Near Detroit, MI

Sanga Consulting Inc is seeking a Spanish/English bilingual fluent Office Manager as the first point of contact for families, students, and school partners upon arrival at the school, and also serves as a resource to the school community. Under the general supervision of the Executive Director, the Office Manager serves as the manager of school office support for the school. The employee organizes, directs, and performs varied and complex clerical and secretarial work with confidentiality and sensitivity. The employee provides written and oral communications and information about school activities in both English and Spanish. In performing duties, responsibilities, and tasks, the individual utilizes independent judgment, initiative, tact, patience, and courtesy.

JOB RESPONSIBILITIES:
Administrative:
  • Manage a school office and provide secretarial support to school site Administrator(s) and staff as required.
  • Build strong working relationships with families.
  • Establish and maintain confidential files.
  • Independently respond to routine letters, emails, and general correspondence.
  • Maintain information on and answer questions regarding specific school programs, fundraisers, and after-school activities.
  • Compose school-wide communications, correspondence, and a variety of bulletins, newsletters, memos, emails, and forms in English and Spanish.
  • Post any news/flyers that are required to be public in a public location (for example, Board Meeting changes must be posted publicly outside school doors).
  • Work with parents to solve problems and prevent student attrition. 
  • Ability to translate school information sessions to parents/guardians as requested.
  • Print report cards.
  • Monitor and oversee students sent to the office during or after school hours; contact parents, guardians, or authorized adults when necessary to provide transportation and/or to release the student to adult supervision.
  • Works closely with parent and family department to align communication and support.
  • Any other duties as assigned.
Enrollment, Student Information, and Attendance:
  • Collect required enrollment documents from incoming students.
  • Manage and track communications with new families to ensure school opens fully enrolled. 
  • Create and maintain complete and current student cumulative files.
  • Transfer or release of student records documentation.
  • Enter student demographic data into Power-school (SIS) and maintain data to ensure accuracy.
  • Maintain and update student emergency information, i.e. emergency cards, computer data, and school safety preparedness.
  • Maintain student attendance records, including preparation and verification of daily student attendance, preparing required attendance reports on a daily, weekly, and monthly basis.
  • Collect doctors’ notes and excused absence notes from parents for absentee documentation.
  • Coordinate school truancy process and communicate with parents as needed (including contacting families when schools are closed).
  • Issue attendance sheets and sub plans to substitute teachers, and gather materials at the end of the day.
Health and Safety:
  • Assist with student medical needs and administer first aid, CPR, and/or prescribed medication as necessary; maintain student incident/accident reports.
  • Administer first aid, distribute medicine, and maintain injury reports.
  • Supervise students sent to the main office for health reasons.
  •  Report all injuries and other school incidents to Assistant Principal, Principal, and Management.
  • Be knowledgeable of all content in the school binder, including emergency procedures.
Special Education:
  • Relay important messages from families to appropriate personnel related to Special Education students. 
  • Follow-up with transferring schools to ensure that the school has all support documentation as it relates to Special Education or Student Support Services.
QUALIFICATIONS:
  • College degree or equivalent experience.
  • Spanish/English bilingual fluency mandatory, with excellent written and communication skills.
  • Demonstrated cultural competence of the local student and parent community.
  • Highly developed interpersonal skills using tact, patience, and courtesy.
  • Effectively prioritize and address and manage multiple concurrent projects. 
  • Flexible and willing to take on responsibilities when there is a decrease in staff.
  • Proactively provide updates on various projects and staff.
  • Previous experience working with PowerSchool.
  • Submit to a criminal background check and be found without a record.
