Job Summary

As the Property Manager, you’ll be the responsible for building connections among the property tenants, public visitors, and service teams into an engaging community. You will have accountability for day-to-day decisions on the property and constantly strive to create improvements and value for the people and asset.

Key areas of responsibility include enhance customer experience, overall property operations, construction, lease and contract administration and financial management and analysis. Oversee the daily operations of assigned commercial building or buildings and ensure that income is maximized, expenses are minimized, and the total value of the asset(s) is maintained.

CUSTOMER EXPERIENCE

  • Understand the unique needs of building customers and respond to customer complaints and inquiries, which cannot be dispatched to Engineering, Janitorial, or Security. Escalate unresolved customer complaints to SPM/GM for intervention.
  • Maintain day to day relations with customer contacts. Plan and execute tenant relations programs.
  • Utilize CRM tool to collect information on customer activities and business function and have ability to analyze data to provide useful insight on customer patterns.
  • Ability to provide a “win/win” solution to customer requests/issues.

PROPERY MANAGEMENT AND OPERATIONS

  • Provide day to day operations management of the assigned property or properties at optimal level. Inspect and direct the activities of workers engaged in operating and maintaining the facilities and equipment in the office building. Ensure quality of operating services, both internal (i.e. engineering, construction) and third party (i.e. landscape, janitorial). Oversee the daily maintenance, upkeep and conditions of assigned property or properties.
  • Oversee building and tenant construction projects. Direct contracted projects to ensure adherence to building specification. Maintain property specifications and standards.
  • Negotiate service and maintenance contracts in accordance with company programs.
  • Be familiar with all pertinent documents for your buildings including leases, management agreements, associations and listing agreements. Monitor lease expirations and lease abstracts. Maintain lease files. Manage commencement letters and related correspondence supporting the lease.
  • Assure tenant and vendor certificates of insurance meet all requirements.
  • Support customer moves, including scheduling of common resources, card keys, signage and other elements. Assure all move out and restoration requirements are enforced. Coordinate preparation of vacated spaces for marketing.
  • Assure successful completion of property audit for all assigned properties.
  • Ensure safety and protection of all building occupants and the property. Assure life safety programs are in place and meet all company guidelines and legal requirements for tenants and employees of assigned building(s). Follow incident reporting procedures as dictated by Risk Management.
  • Manage day-to-day relationships with vendors and monitor vendor performance by regular inspections including collection of vendor service reports and MSDS.

FINANCIAL

  • Prepare Annual Budgets, Business Plans and Escalations. Review Monthly General Ledger to assure all expenses and income reflected are valid. Review Cash Flow statements for accuracy and explain all variances in income and expenses. Analyze spending compared to competitive properties. Seek savings where possible.
  • Review, verify and approve all project expenses. Ensure bills are paid in a timely fashion.
  • Collect all rent, operating expenses, CPI calculations, percentage rents and miscellaneous charges in a timely fashion under the lease terms.

OTHER

  • Social Media – Establish/maintain/ promote project via social media as dictated by marketing guidelines.
  • Other duties as assigned.

Qualifications

 

· Minimum 3 years property management experience or related business experience.

· Proficiency in various software applications and the ability to learn and utilize custom software programs. Microsoft Office (Excel, Word), Adobe Acrobat and other standards required.

· Real Estate Salesperson’s license preferred.

· Bachelor’s degree in business, Accounting, Finance or related discipline preferred

· RPA and/or CPM designation or coursework and candidacy preferred.

· Effective written and verbal communication skills.

  • Able to multi-task and prioritize.
