What are the responsibilities and job description for the Guest Service Agent position at Empire Hotel?

ESSENTIAL RESPONSIBILITIES:

  • Register guests and assigns rooms. Accommodates special requests whenever possible.
  • Assists in preregistration and blocking of rooms for reservations.
  • Thoroughly understand and adheres to proper credit, check- cashing, and cash handling policies and procedures.
  • Understands room status and room status tracking.
  • Knows room locations, types of rooms available, and room rates.
  • Must be sales minded. Presents options and alternatives to guests and helps in making choices.
  • Uses suggestive selling techniques to sell rooms and to promote other services of the hotel.
  • Knows the location and types of available rooms as well as the activities and services of the property.
  • Possesses a working knowledge of the reservations department.
  • Close guest accounts at time of check out according : greet guest at check out, confirm, and collect payment, and request feedback regarding stay.
  • Update guest’s profile to ensure best possible service for future stays.
  • Handle cash, make change and balance an assigned house bank. Accept and record vouchers, travelers’ checks, and other forms of payment. Perform accurate, moderately complex arithmetic functions using a calculator. Post charges to guest rooms and house accounts using property management system.
  • Work with various departments to ensure guests receive the best possible service. Duties may include working with Housekeeping for all guest requests and room status updates, Engineering for all guest requests and building issues, Sales for all guest inquiries, group business and daily site visits, and reservations for all reservation inquiries, changes, and billing issues.
  • Maintains and supervises access to safe deposit boxes.
  • Performing cashier related functions like posting charges to guest accounts, raising paid out's, currency exchange,
  • Follows procedures for issuing and closing safe deposit boxes used by guests.
  • Works closely with the housekeeping department in the keeping room status reports up to date, check outs, late checkouts, early check-ins, special requests, and coordinates requests for maintenance, repair work.
  • Uses proper telephone etiquette.
  • Performs cashiering tasks like bill / invoice settlement, posting charges to the guest, paid out's, foreign currency exchange etc.
  • Uses proper mail, package, and message handling procedures.
  • Reads and initials the pass-on log and bulletin board daily. Is aware of daily activities and meetings taking place in the hotel.
  • Reports any unusual occurrences or requests to the manager or assistant manager.
  • Knows all safety and emergency procedures, Is aware of accident prevention policies.
  • Maintains the cleanliness and neatness of the front desk area.
  • Understand that business demands sometimes make it necessary to move employees from their accustomed shift to other shifts.

QUALIFICATIONS:

EXPERIENCE:

  • Hotel & guest service experience preferred.
  • Opera experience, proficiency in Microsoft word, and excel
  • Ability to perform computer-based tasks such as data entry, accounting, word processing and billing.

  • Strong analytical and problem-solving skills.
  • Strong technical, and employee related and customer service skills.
  • The ability to read and comprehend instructions as well as adhering to directives.

  • Ability to effectively present information in one on one and small group situations to guests, clients and other employees of the organization including corrective conversations.
  • Additional language skills are desirable.

WORKING CONDITIONS/ESSENTIAL DEMANDS:

  • The ability to remain alert and effectively produce time management skills.
  • Strong analytical skills are needed; the ability to multitask and take all pertinent information into account when recording financial information.
  • Long periods of standing.

  • While performing duties of this job, the employee is required to stand, sit, or walk for an extended period including the duration of the shift. The Employee may frequently be required to stop, kneel, crouch, and lift for the duration of the shift. The employee will need to use hands to finger, handle or feel; reach with hands and arms and stoop, kneel crouch or crawl. The employee must frequently lift and/or move and/or push up to 50 pounds without assistance.

Pay: $24.00 - $25.00 per hour
