Job Description
●This is a five days a week, 8am-5pm in-office role
●This job has three major parts: traditional office manager, employee engagement specialist, and facilities management
●Be the “face of the workplace experience team and the company” for employees and visitors as they come to the office
●Create a lively, welcoming, and exciting office environment
●Get to know the employees and be their go-to contact for all things workplace related
●Event planner for office events- must be able to set the tone and create the energy
●Manage the facilities to ensure a productive, safe, and inviting work environment
●Be the primary contact for the office to all employees and property management; liaising with staff and vendors
●Responsible for general site communications, building notifications, and office mailing list administration
●Owns all aspects of the office and employee workplace experience
●Support in shipping and receiving
●Track invoices and expenses, along with managing the overall office budget
●Order and stock office and snack/drink supplies
●Keep the entire office stocked, organized, and professional in appearance
●Answer calls, emails, route inquiries, and handle the mail
●Assist in onboarding and off-boarding process of employees
●Occasionally support the HR team with tasks
●Partner with IT, Workplace Experience, and HR globally on policies and procedures
●Additional tasks assigned on an as needed basis
Your Qualifications
●Good interpersonal skills and a positive demeanor
●Always energetic and able to “get the work party started”
●Solid critical thinking skills and troubleshooting ability
●Motivated with the ability to work under little direct supervision
●Ability to represent HR and Workplace Experience professionally at all times
●Experience with standard business suite tools, such as Word, Excel, PowerPoint, Google Suite, newsletter creation, photo editing
●Excellent verbal and written communications skills are a must
●Ability to multitask
●Responsible, accountable, dependable, and thorough
●Creative, resourceful, and willing to try new ideas
●Ability to sit or stand for prolonged periods of time throughout the workday
●Must be able to lift, carry, push, or pull up to 25 pounds
●Highly organized with a strong attention to detail
●The candidate selected for this role must be very comfortable with change, while embracing occasional chaos and pressure
●Previous experience with supporting employee experience and engagement is preferred, preference to someone who has worked at IT companies in the past
●Previous experience as a Workplace/Office Manager or Coordinator preferred
