Position Summary

The Payroll Specialist serves as the primary service contact for the client and is expected to consistently provide excellent customer service to accounts, as well as represent internal client needs and goals within the organization to ensure quality.

Essential Job Duties and Responsibilities

  • Maintain a base of payroll clients relevant to size and complexity on all products.
  • Accurately and timely process payroll, TDI transactions and certified payrolls. Accurately keys all payroll related data necessary to process and meet assigned schedules. Accuracy and dependability are important since errors can directly impact client retention.
  • Interact with clients daily to obtain payroll data including salary adjustments, special payments, tax allocations and employee deductions.
  • Use on-line tools and other resources to research and respond to Client inquiries requiring guidance on how to address a wide variety of payroll, pay practice and payroll tax questions and situations.
  • Maintains a high rate of client retention through quality service, meeting and exceeding client expectations, building rapport/relationships and delivering an exceptional client experience.
  • Stay current on recent Federal and State law changes.
  • Researches and resolves client/system problems.
  • Collaborates with internal partners involved in providing services to identify and resolve issues and ensure that these services meet client expectations.
  • Identifies potential problems and/or compliance issues related to: Fair Labor Standards Act (exempt vs. non-exempt, minimum wage, etc.); state wage and hour laws; workers compensation classifications; employee terminations and final pay; employee classifications (PT, FT, seasonal, temporary).
  • Establishes and maintains a positive working relationship with clients, agencies and coworkers to promote a quality service image.
  • Maintains client files and timely scans and files electronically.
  • Process new employee paperwork and ensure I-9 compliance.
  • Performs other tasks as assigned.

Knowledge, Skills and Abilities Required

  • Communicate effectively, both in writing and in speaking, with customers, co-workers, and various business contacts in a courteous and professional manner.
  • Proficient computer skills including working knowledge of Microsoft Office products (especially Excel, Outlook, and Word).
  • Work completely and accurately under time constraints and deadlines.
  • Work in a fast pace environment and prioritize multiple work assignments.
  • Provide excellent customer service to internal and external customers.
  • Maintain confidentiality for dealing with issues of a sensitive nature.
  • Keep fresh on payroll best practices and payroll law by continuous self-development.
  • Ability to adapt to a fast paced continually changing business and work environment while managing multiple priorities.
  • Ability to analyze and resolve problems through effective customer interface and communication.
  • Must be able to work under time constraints to ensure that deadlines are met.
  • Excellent professional customer service skills.
  • Be a true service professional dedicated to the client experience and a small business advocate.
  • Bilingual English/Spanish a PLUS.

Education and Work Experience Requirements

Any combination equivalent to the following education and experience that would provide the required knowledge, skills and abilities would qualify. A typical way to obtain the knowledge, skills and abilities would be:

  • High school diploma or GED
  • 5 years of payroll processing experience and proven ability to manage multiple payrolls daily.
  • Have developed proven payroll processes and training programs.
  • Basic knowledge of payroll tax principles and wage and hour laws.
  • PEO experience is preferred but not required

Physical and Other Requirements

This position will require 8 hour days, flexible hours and overtime on occasion. Some travel is required and overnight stay on rare occasions. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
