In addition to a talented cadre of environmental lawyers and legislative advocates, Earthjustice has an amazing communications department that works in partnership with every other department at the organization. The Communications Project Manager plays a vital role in growing and diversifying our audiences by ensuring key communications projects run smoothly, on time and within budget. Reporting to the Senior Project Manager, the Communications Project Manager is responsible for managing high priority projects within the Communications department and supporting infrastructure for the department’s projects to run smoothly. The project manager plans, executes, and evaluates projects according to timelines and budgets. Working with various project leads, stakeholders, and the senior project manager, the Communications Project Manager will ensure quality control throughout project life cycles.

Preference for candidates willing to be based out of either our San Francisco, CA, Washington, D.C. or Los Angeles, CA offices under our hybrid model. Remote candidates within the U.S. will also be considered.

Willingness to travel 3-4x/year strongly desired.

Responsibilities:

Project Management: Manage 2-4 Cross-functional Projects, as assigned (60%)

  • Work with Project Leads and the Senior Project Manager to define scope and project requirements, develop project briefs, schedules, and budgets when applicable.
  • Schedule and facilitate project meetings, note take and report to the team and department throughout the project lifecycle.
  • Support the Project Lead and team to execute the project in accordance with the plan created by tracking the project tasks, schedule, documents, stakeholders, and review points.
  • Work with Project Lead and team members to establish external contractor engagement plans when needed to complete the project scope. Support and communicate with external consultants throughout the project lifecycle.
  • Nurture cross team and cross department collaboration and strategic thinking on projects of all sizes by learning communications best practices within the field.
  • Mediate minor concerns, and escalate issues around scope, timeline, or budget changes to the Senior Project Manager and leadership team to manage risk.
  • Effectively manage timely and quality completion of project scope. Ensure any changes to scope are documented and approved and mitigate risks and issues proactively.
  • Work with project team to identify, track and report on project KPIs and milestones. This could require data analysis, visualization, and reporting.
  • Provide status reports on quarterly priorities to the department and the broader organization at the start, middle, and close of each quarter.
  • Conduct regular postmortems and ensure previous projects’ Lessons Learned and applicable industry experience is incorporated into the project execution plan.
  • Work with the Senior PM to report lessons learned and project performance to the leadership team and department.

Project Infrastructure Support: Establish and support processes and tools (35%)

  • Support drafting of toolkits, process documents, and playbooks to ensure effective and efficient collaboration within the department. This could include templates for projects, deliverable best practices, onboarding documents, and more.
  • Support operational tool implementation and rollout, such as a resource management tool to aid in portfolio level management across all projects.
  • Enhance project performance measurement and benchmarking through the creation and upkeep of data dashboards (through platforms like Google Analytics) and reporting representative of different communication channels and deliverables.
  • Aid in quarterly project planning process when necessary by connecting with team members on both cross functional and team level project needs, and working with the Senior Project Manager and leadership team to help prioritize projects across the department.
  • Help drive consistency and adoption of PM best practices within the Communications department.

Continued Learning and DEI: (5%)

  • Attend seminars, webinars and training as professional development for project management within communications and the nonprofit sector.
  • Attend internal DEI learning opportunities to increase awareness of creating a diverse, inclusive, and equitable work environment.
  • Collaborate with PM resources across the organization to support the build out of a PMO within Earthjustice and share best practices.

Qualifications:

  • Bachelor’s Degree in Business, Marketing or Communications or relevant work experience
  • 5 years of experience in similar roles
  • Certification recognized by Project Management Institute is a major asset.
  • Familiarity with project management tools and/or software packages, including Monday.com and Office 365 (Microsoft Planner and SharePoint).
  • Knowledge of the non-profit sector and the context to which non-profit organizations operate.
  • Strong time management skills to prioritize capacity across multiple projects and priorities.
  • Strong interpersonal management skills without positional authority.
  • Data analysis, visualization, and reporting experience.
  • Rapidly adapt and respond to changes in environment and priorities.
  • Excellent critical thinking and problem solving skills.
  • Ability to work in a team-oriented, collaborative environment with a wide range of stakeholders.
  • Ability to work independently, perform multiple tasks, complete tasks on schedule and respond to deadlines, and interact effectively with people inside and outside the organization.
  • Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.
  • Contributes to the creation of a diverse, equitable and inclusive work culture that encourages and celebrates differences.

Salary range in San Francisco, CA: $100,200 - $111,300

Salary range in Washington, D.C. & Los Angeles, CA: $95,200 - $105,800
