Project Summary

This project provides administrative support services to the Director who serves as the centralized program and administrative support authority in JSP. The contractor provides all labor, supervision, and quality control necessary to provide comprehensive administrative services. The contractor is responsible for the development, implementation, and maintenance of office programs; human resource related activities; clerical and administrative procedures; and efficient operations and accomplishment of work in support of the OSD CIO and the Director, JSP.

Position Summary

To provide support to all administrative functions by implementing systems, procedures, and policies, and monitoring projects within an Executive Office environment.

Responsibilities

As the Administrative Support Specialist your responsibilities will include, but are not limited to:

  • Monitoring the Executive Office front desk and conference rooms.
  • Answering Executive Office front desk telephones.
  • Greeting and directing all visitor’s, ensuring visitation is followed in accordance to office security policy (including daily escort of office maintenance personnel).
  • Organizing and maintaining schedules and calendars.
  • Maintaining organizational internal and external rosters/directories.
  • Producing and distributing general office correspondence such as memos, letters, faxes and forms.
  • Developing reports, briefings and documents at leadership’s request.
  • Supporting project functions, including maintaining Standard Operating Procedures, data entry, plan tracking and task assignments.
  • Maintaining organizational SharePoint site and providing expertise for SharePoint web development.

Required Experience

  • Active Secret Clearance is required.
  • 1-3 years’ administrative assistant experience.
  • 1-3 years’ experience working in a professional office environment.
  • Effective writing and communication skills such as editing correspondence, presenting work product to task leads, and developing meeting minutes.
  • Ability to schedule meetings and field phone calls from various departments.
  • Proficiency in the Microsoft Office Suite (specifically Outlook, Word, Excel, and PowerPoint).
  • Ability to consistently manage Executive Office processes and procedures.
  • Ability to communicate accurately and clearly in written and oral format, conveying a pleasant, customer-service oriented, manner.
  • Superior organizational skills and accuracy.
  • Excellent problem solving and people skills.

Preferred Experience

  • 1-3 years’ experience in an executive-level office setting.

Education and Training

  • High School Diploma required; Bachelor's degree preferred.

At this time, Executive Order 14042, Ensuring Adequate COVID Safety Protocols for Federal Contractors, which mandated the creation of a Federal Acquisition Regulation clause requiring federal contractors and subcontractors to be fully vaccinated from COVID-19, is in a pending status. Please note that, as a government contractor, DRT may be required to ask for proof of your COVID-19 vaccination status upon hire or anytime thereafter if the executive order is upheld. Per the requirement, federal contractors and subcontractors must submit proof of vaccination against COVID-19 or have an approved accommodation to begin work.
