Drsnip - The Vasectomy Clinic is Hiring a Remote Practice Manager

DrSnip® is an outpatient vasectomy clinic that prioritizes quality clinical care and a best-in-class patient experience. Role & Responsibilities

This position requires regular travel between California, Portland, and Seattle with some remote work opportunity. The Practice Manager reports to the CEO and has broad responsibility and oversight over of all clinic operations, workflows, and premises. The Practice Manager supports the DrSnip mission by working closely with Clinic Supervisors to ensure DrSnip delivers excellent and consistent patient experiences across all locations. This includes participating in recruitment, staffing, and training for all clinical roles; codifying and improving existing workflows and procedures; and, overseeing IT/EMR improvements as they pertain to clinical operations. 

The Practice Manager will also be an integral part of the internal Business Development team that will oversee the opening of new locations. This will includes ensuring (i) the new location is ready on time for opening, (ii) new clinic staff are ready for patient care; (iii) and all equipment, instruments, and supplies are in place and ready for use. 

General Expectation

  • Embody the mission of DrSnip and personify our mission, culture, and values.
  • Work alongside the CEO and Clinic Supervisors to codify a best-in-class patient experience. 
  • Lead recruiting, training, and onboarding new staff at all levels. 
  • Communicate and collaborate with the CEO and Medical Director to codify clinical standards.
  • Support the Clinic Supervisors to address their needs, quickly, objectively, and transparently. 
  • Onboard and train new staff on systems, and policies and procedures.
  • Assist with continual development of DrSnip Policies & Procedures.
  • Professionally communicate announcements and new policies from Management.
  • Open two (2) new locations each year, as part of the DrSnip Business Development Team 
  • Oversee and take responsibility for all IT and Facilities vendors, workflows, and operations.
  • This role will require travel to clinics in multiple states.

Human Resources Expectation

Lead recruiting of all DrSnip roles for each location – review CVs, perform initial outreach. Lean on creativity to find unique ways to identify good candidates.

  • Directs work of teammates, including supervision, hiring, and terminations; determine staffing needs, and ensure efficient utilization of teammates. Monitors skill development and performance of the staff. Provide orientation for all new teammates and coaches to achieve a high performing team. Gives regular performance feedback and conducts performance reviews. 
  • Maintain employee files for all staff and docs; participate in performance reviews and document
  • Write up incidence reports /HIPAA breach assessments report.
  • Ensure local compliance with HIPAA, OSHA, WISHA, and DOH – codify across all areas. 
  • Help set development plans for each employee
  • Prepare materials for safety meetings including emergency response drills/best practices with equipment.
  • Assist Clinic Supervisors with Safety Program documentation including emergency response, floor plans, and MSDS.
  • Ensure Fire and Life Safety equipment compliant with OSHA, WISHA, local and state requirements.
  • Get DrSnip on a “Best Places to Work” rankings.

IT, EMR, Facilities Expectation

  • Be the liaison between staff and IT/EMR vendors.
  • Manage and oversee development and deployment. 
  • Manage and document all vendors for ongoing and ad hoc work, including software development 
  • Train new staff in IT hardware, software, and systems.
  • Be the first point of contact Clinic Supervisors on all repairs and maintenance questions.
  • Be the first point of contact for Clinic Supervisors on all IT-related questions and feedback.

Operations Expectation

  • Works with all members of the department ensuring smooth patient flow within. Responsible for the day-to-day operations including achieving established goals such as quality of care and budget expectations for production. Ensures compliance with all policies and procedures in accordance with State and Federal Regulations. Uses standard tools to monitor individual and departmental performance on key metrics.
  • Know the roles: CA, MA, GR and PSR to ensure you know how to vet candidates for them
  • Codify ways to improve efficiency and patient experience.
  • Create dashboard metrics to help influence decision making and capital allocation, including staffing, supplies, throughput, and cancellations. 
  • Inquire into variances and make recommendations to the CEO re areas of improvement or adjustment. 
  • Maximize throughput and efficiency at all locations. 
  • Assist Clinic Supervisors with staffing issues and questions, as needed. 
  • Create day-to-day checklists of all the things the clinical staff can do during the day
  • Other duties as assigned

Expansion

  • Work as part of the team to open new locations, assuming operational oversight.
  • Oversee local vendors to outfit and set up new locations with all equipment, instruments, and supplies. (Work with Shrikesh on layout development). 
  • Oversee staff training and onboarding; leverage existing staff to complete firsthand training.

Supplies & Equipment

  • Assist with sourcing and procurement of medical equipment and instruments. 
  • Review purchases for clinic supplies and equipment.
  • Review supply price changes, source new vendors, and negotiate discounts.
  • Manage and update supplies in FileMaker Database.
  • Manage vendor list and track contacts by location/region.
  • Ensure inspections of medical equipment and instruments to ensure they maintain updated certifications, precise requirements, and peak performance abilities.
  • Assist with sourcing new equipment and cost-savings on existing equipment for new locations.
  • Oversee/Assist with repairs and service with Clinic Supervisors/Physicians and local vendors. 

Qualifications & Requirements

Minimum of 5 years of leadership experience (lead, supervisor and above) in a clinical setting or demonstrated equivalent experience preferred. Clinical licensure required.

Full COVID-19 vaccination is an essential job function of this role. DrSnip will adhere to all federal, state, and local regulations as well as all client requirements and will obtain necessary proof of vaccination, and boosters when applicable, prior to employment to ensure compliance. Candidates must be able to perform all essential job functions with or without reasonable accommodation. We are still requiring masking in patient care areas.
