Job Description 

Primary Functions 

A Finance Manager is a person with strong analytical skills who works well in a fast paced environment, and can work autonomously and collaboratively at times with multiple business partners. The Finance Manager assists in streamlining, coordinating, and performing various business functions and ensures that goals and objectives are met through the Financial Polices. The Finance Manager is a competent team member who provides guidance and enhances performance in a manner that incorporates Dr. Richard Izquierdo Health & Science Charter School’s vision, and works collaboratively with the school leadership team to develop a school-wide culture of respect and achievement in common goals.

Essential Functions & Accountabilities:

  • Supervises the Purchasing Associateand Accounts Payable Associate 
  • Assist with the management, and entry of the school’s annual budget in various systems 
  • Oversee and manage all financial and accounting activities of the school and ensure the appropriate recording of all transactions 
  • Manage accurate day-to-day bookkeeping in Quickbooks for the school, including accounts receivable and payable 
  • Organize and manage Procurify, the school’s system for purchasing goods and services 
  • Ensure school purchase orders are appropriately tracked and closed out according to the school’s procurement policies 
  • Review and approve invoices, order requests to ensure accurate entries 
  • Set up vendors with electronic payments and ensure all bills are paid in a timely manner in Bill.com 
  • Prepare and submit Monthly bank reconciliation and bill payment reports to the board 
  • Review Profit and Loss report and make necessary updates for month-end closing 
  • Track all monthly recurring bills and ensure all bills are entered in a timely manner 
  • Prepare prepaid journal entries in QuickBooks when needed 
  • Perform remote deposits 
  • Maintain all contracts and detailed systems for financial back documentation
  • Coordinate general liability insurance renewal annually 
  • Provide financial information and reports when requested by leadership and the board 
  • Monitor and balance all bank accounts 
  • Review and approve sales tax refund packet before mailing 
  • Maintain W9’s and manage the 1099 preparation process annually 
  • Use Accrual Accounting for entries including correct dates and descriptions 
  • Update Procurify and Bill.com with approvers and GL codes when needed. 
  • Correctly code expenses using existing Chart of Accounts and the most recent budget 
  • Assist with the annual audit 
  • Assist in the preparation of financial reports 
  • Assist with research required for document discrepancies with clients and/or vendors 
  • Assist with recording and tracking income and expenses related to all contracts and grants, including federal entitlements 
  • Prepare documents for Head of School and Board’s signature when needed 
  • Assist with the annual audit 
  • Assist with ADHOC projects as requested by Sr. DOF and HOS

Knowledge & Skills

  • Demonstrate Proficiency in Microsoft Office (particularly Excel), QuickBooks, and other Financial Management Systems
  • Ability to Organize, Analyze, Interpret, Evaluate and present Financial Data
  • Understanding of Accounting and Financial Planning concerns for nonprofits
  • Strong Interpersonal and Communication skills
  • Acute Attention to Detail coupled with the ability to Think and Act Strategically

  • Highly effective writing, oral and interpersonal skills to communicate with a varied audience

Required Education and Experience

  • Bachelor’s degree 
  • Minimum of 3 years of experience in related field 
  • Prior experience working in a Charter School or non- profit 

Required Education and Experience

  • Bachelor’s Degree in related field 
  • 2 years of Bookkeeping (preferably with a not-for-profit organization)

Prior experience working in a Charter School environment is a preferred

Preferred Education and Experience 

  • Master’s Degree Business Administration; Finance Major 

Supervisory Responsibility

  • This position supervises the Purchasing Associate and the Accounts Payable Associate

Work environment 

  • Collaborate with colleagues to continuously

  • Fulfill all outlined and related functions professionally, timely and thoroughly
  • Complete any other tasks or duties as assigned by the school leadership

Physical Demands

While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. This job's specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Position Type and Expected Hours of Work 

This position is full-time, and the hours and workdays are Monday through Friday, from 8:00 a.m. to 4:00 p.m. Some evenings on school events and during after school activities.

  • Limited to no travel required
