Role Overview:

We are looking for an experienced Event coordinator to organize excellent events. You will be responsible for every aspect of an event, from choosing venues to evaluating success afterwards.

An event coordinator must be well-organized and competent in vendor management. Communication skills and attention to detail will set apart the best among the candidates. Add a shot of enthusiasm and passion for the job and you’ll be our ideal candidate.

The goal is to organize unforgettable events that will ensure the engagement of participants and facilitate the completion of business objectives.

Responsibilities:

  • Understand requirements for each event
  • Plan event with attention to financial and time constraints
  • Book venues and schedule speakers
  • Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
  • Negotiate with vendors to achieve the most favorable terms
  • Hire personnel
  • Manage all event operations (preparing venue, invitations etc.)
  • Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
  • Oversee event happenings and act quickly to resolve problems
  • Evaluate event’s success and submit reports

Skills, Traits, Competencies:

  • Communication – Strong people skills can be key to making sure event management is executed efficiently and an event is planned and run as smoothly as possible.
  • Project Management/Organizational Skills – Able to prioritize their tasks to ensure maximum productivity from their time. 
  • Budgeting – Managing an event budget and ensuring costs are kept within scope. 
  • Creativity/Eye for Detail – The devil is in the detail. 
  • Motivational Skills – Motivate their team, pick the team up after a long day and remain a positive influence.
  • Partner management – Experience with negotiating and building partnerships with vendors, sponsors, and partners
  • Innovative and resourceful – actively seeks opportunities to take a leadership role in the execution of improving the event planning process and attendee experience

Qualifications:

  • Proven success as an event planner or coordinator with 3-5 years of experience
  • Strong interpersonal and communication skills
  • Experience in maintaining and building enriching business relationships
  • Excellent organizational skills, including multitasking, time management, and meticulous attention to detail
  • Ability to handle pressure and make split-second decisions
