Job Title: Referral Coordinator / Check-Out

SUMMARY

The primary responsibilities of the Referral Coordinator and Check-Out position is to collect any outstanding balances or monies due, schedule follow-up appointments after preliminary treatment at the clinic while verifying insurance authorization required for appointments, providing orders, authorizations/referrals, and visit summary.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned:

  • Contact patients to schedule appointments for initial or follow-up exams.
  • Verify patient details and obtain information on patient medical history and insurance.
  • Provide all required medical background information regarding patient to physician.
  • Briefs patients on any preparation required for the visit.
  • Handles queries from patient, physician and insurance companies regarding patient care.
  • Maintain accurate record of scheduled patient appointments and the physician to which the patient was referred.
  • Respect patient privacy and maintain information confidentiality (HIPAA).
  • Adheres to all PrimeHealth Physicians policies on safety and security; maintains restricted areas safe by safeguarding when appropriate keyless entry codes and computer system passwords in strict confidentiality.
  • Must exercise utmost diplomacy and tact to provide excellent customer service for patients; practice confidentiality and privacy protocols in accordance to PrimeHealth Physicians policies and HIPAA requirements.
  • Maintains patient waiting areas, office files, and front desk areas in a manner that is organized and neat.

QUALIFICATIONS

Education and/or Experience:

High school diploma or equivalent (GED) and at least one year of Medical Office or Insurance experience; or equivalent combination of education and experience.

Communication Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

Competency with Microsoft Office Suite and specified medical software.

Equipment Operated:

Standard office equipment including computers, fax machines, copiers, scanners, printers and telephones.

PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is constantly required to sit and use hands to operate a telephone, type and operate computer and mouse. The employee is frequently required to talk, hear, bend and twist neck. The employee may occasionally lift and/or move up to 50 pounds of supplies and equipment and help with patient transport and transfer. Specific vision abilities required by this job include close vision and distance vision. Occasional stress when dealing with priorities and anxious patients.

  • While performing the duties of this job the employee is in a typical office environment. The noise level in the work environment is usually moderate, but occasionally noisy. Occasional evening and weekend work.
