The position is responsible for performing administrative duties that include MAPP status reports, registering new clients, handing Chat communications, maintaining databases, creating reports, and writing letters. The representative will also be assigned tasks such as ordering marketing merchandise, maintaining office inventory and primarily onboarding productions. The role requires exceptional time managementskills and good communication and multi-tasking abilities. Essential functions: Onboard New Client Accounts and Questions.Send out client agreements and documents associated with account setup.Provide and organize client-user access to DECS website. Informs DECS team with new client changes or updates.Research companies that are provided on driver employment history, using governmental resources, industry-related production databases and search engines, employment history, using governmental resources, industry-related production databases and search engines.Reach out to companies to determine point of contact to whom DOT-required inquiries can be sent and completed.Conducts operating authority setup per client request.Maintain office inventory and/or assist with marketing merchandise Represent the company, its employees and the work environment with a positive attitude anddemeanor. Escalates potential issues. May prepare reports requested by clients. Stay current on all DECS and DISA company policies, procedures and practices. Stay current on all Federal and State regulations, pertaining to department. Communicate with Operations Managers to ensure maximum workflow performance.Greet visitors and callers, route and resolve information requests.Conduct company research and create associated Excel spreadsheets for driver records.Input and update data into FileMaker Pro databases.Assist drivers in completing driver application documents electronically.Register employees and drivers in DOT-related online courses.Maintain office inventory.Participate in bi-weekly operational meetings.Perform administrative services for Chat communications.Strong ability to use the internet as a research tool. Superior attention to detail and accuracy. Ability to think in a clear, logical and organized manner and work under minimal supervision. Strong computer skills in the areas data entry and data management. Working knowledge of Adobe Acrobat Writer, Microsoft Office and FileMaker. Ability to effectively interact and communicate with coworkers, clients and vendors. Effective written, verbal and interpersonal skills for summarizing and communicatingfindings. Ability to concentrate and work efficiently and consistently. Ability to use hands and eyes repetitiously through the use of a computer monitor through the use of a computer monitor and keyboard.Ability to sit, stand, walk, kneel and bend for extended periods of time.Daily client interaction in person, over the phone, or by email. Physical Requirements: · Physical demands:While performing the duties of this job, the employee is regularly required to talk, hear, walk, sit, stand, use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms. Employee must occasionally lift up to twenty - five (25) pounds. Specific vision abilities required by the job includes: close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.· Work Environment:The noise level in the work environment is moderate· Sometimes this position may require travel out of the office to visit clients. Required Qualifications: High school diploma or equivalency Experience level - 6 months to 1 yearPreferred Qualifications: Bachelor’s Degree or Associate in Arts Degree Experience level - 2 to 3 yearsWork Schedule - Monday - Friday 9:30 a.m. - 6:00 p.m.
