Office Coordinator

Independence Excavating is looking to hire a full-time office coordinator in our Sterling VA location. In this role, the Office Coordinator will provide administrative and clerical assistance for office staff (including, but not limited to, word processing, typing, filing and organizational projects)

A typical day looks like:

  • Answering phones, greeting customers and visitors with exceptional care and respect; with the goal to provide a special first impression to our incoming calls and visiting guests. Interacting with our guests, customers, fellow employees, and vendors in accordance with the DiGeronimo Companies Care Pledge
  • Greeting incoming visitors in a professional manner and promptly notifying appropriate person of their arrival
  • Being responsible for BambooHR software administration, organization and all record keeping necessary for full functionality of HR processes, data collection and communication 
  • Aiding the HR Team including involvement in recruitment, benefits, onboarding, data and information systems, Co-Op Program, setting up meetings, employee programs, company events, etc.
  • Assisting in the maintenance of conference rooms, bid rooms, training rooms, receptionist and waiting area, common areas, break rooms and coffee areas
  • Assisting with scheduling safety meetings and employee events, reservations or travel arrangements and maintain conference room calendars
  • Sorting, distributing and processing mail, faxes, interoffice mail and deliveries
  • Supporting various managers and/or owners with correspondence, phones/ messages, mailings, coordinating meetings/schedules, invoices, etc.
  • Handling office supply ordering as well as field supplies if necessary.
  • Handling scanning duties and job solicitations, assisting estimators with subcontractor and material solicitation
  • Creating and maintaining various reports as needed
  • Providing administrative assistance in various special projects and the needs to complete projects
  • Assisting project managers, shop managers, and equipment mangers with paperwork
  • Traveling tasks to local post office, FedEx, store, etc. (mileage is reimbursed)
  • Other duties as assigned

Do you have what it takes?

  • High School Diploma, Associates degree preferred
  • 1 to 3 years of administrative experience, knowledge of construction industry preferred
  • Bilingual (Spanish speaking) preferred but not required
  • Microsoft products knowledge and experience (Word, Excel, Outlook, Power Point)
  • Must have good working knowledge of office software and be able to create documents
  • This position may have an unusual amount of varied tasks, as it will support many different departments. Person must be flexible and work with each manager to establish priority of assignments
  • Must present a professional image (in person, over the phone, via email) and must be able to maintain a high level of confidentiality as needed
  • Must have excellent verbal communication skills to deal with internal and external contacts; especially when representing owners and answering the phones
  • Must be able to effectively communicate verbally with employees of all levels, external vendors, government agencies, attorneys, and others. Many times communication is of a sensitive nature and tact and professionalism are very important. Clear and understandable written communication skills are very important.
  • Must be able to write effectively when drafting correspondence for managers/owners
