Construction Project Administrator

A Construction Project Administrator is responsible for, or working in coordination with others for the following functions and duties including, but not limited to:

  • Auditing of Project Documents and records. This includes Project files on executed Subcontracts, Purchase Orders, Agreements, Contracts, Change orders, payment applications or any other project document that affects the company position in a dispute or outside audit.
  • Monitoring and assisting in the creation of Billing and payment documents for projects.
  • Assistance with Project specific time and material and equipment rates as needed when crafted specifically based on Contract and Owners needs.
  • Assistance with the compilation of project specific time and material change order requests for submission to the owner.
  • Assistance with review and production of waivers and other legal documents
  • Assistance with review and modification of contracts
  • Producing Notices of Furnishing and responding to requests for Notices of Commencement
  • Tracking and Auditing Certified Payroll Records
  • Tracking last date of work on all projects to assist in the preservation of lien rights
  • Issuing and Reviewing Prequalification Packets for Master Service Agreements
  • Pursuing, managing and tracking current Master Service Agreements
  • Tracking and maintaining current Certificates of Insurance for all vendors and subcontractors
  • Assist in securing bonds and Certificates of Insurance as projects require
  • Notarize documents
  • Scanning and filing support
  • Maintain organized and updated job folders
  • Managing offsite storage of project files and document retention and destruction
  • Providing support for monthly project management meetings
  • Providing administrative support for the entire project management team
  • Other duties as assigned

Do you have what it takes?

  • HS Diploma required; Associates Degree preferred
  • A minimum of 3-5 years of prior Administrative Assistant experience
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint and Adobe
  • Proficient or ready to learn Spectrum Construction ERP Software
  • Experience or exposure in the construction industry
  • Detail oriented
  • High level of interpersonal skills to handle sensitive and confidential situations
  • Must be able to create professional documents
  • Excellent organizational skills
