ArtCenter College of Design is Hiring a Coordinator, Interaction Design and Media Design Practices Near Pasadena, CA

ArtCenter College of Design is searching for an experienced Coordinator, Interaction Design and Media Design Practices to join our team.
The salary range for this position: $24.73 - 30.77 per hour, 35 hours per week.
Finalsalary is based on education, experience, skills relevant to therole, and internal equity.

Every positionat ArtCenter plays an important part in carrying out the values, goals,strategic vision, and mission of the College. This includes diversity,equity, inclusion, access, belonging (DEIAB) and culture.
Reporting to the division's executive director of academicaffairs, the coordinator will perform a variety of administrative tasks andassist with projects in support of the overall operation of the department.This position is the frontline interface for students, faculty, staff andguests to the department. The incumbent will support the department chair,associate, or assistant chairs, and assist the senior coordinator.
This is a full-time position. Normal business hoursare Monday through Friday, 8:30 a.m. to 4:30 p.m. or as defined by thedepartment. The position is eligible for flexible scheduling and can be performedon-site, hybrid in-region or may be required as a condition of employment. Thedemands of this work may include weekends or evenings.
Administrative Support - 60%
  • Provide administrative and clerical support to the department including processing of incoming mail, email and delivered packages, scanning and photocopying, digital filing, and archiving, communicating messages and making purchases
  • Maintain and keep current the department calendar for scheduled meetings, time away from the office and special events
  • Provide event logistical support by coordinating all arrangements such as, AV, signage, catering, photography and parking; and coordinate and prepare event-day activities for division events and meetings
  • Manage vendor relations, generate faculty payment requests, check requests, purchase orders, honoraria forms
  • Prepare and send correspondence and other forms of communication on behalf of the division
  • Assist the senior coordinator with regularly updating the department section of ArtCenter website and social media accounts
  • Assist the senior coordinator with corporate card expense reports and receipt documentation, report tracking overall department expenses against budget and other administrative documentation for the department, as required
  • Coordinate travel arrangements for department staff and leadership, including flights, lodging, rental car, etc.; assist with related expense and contact reports and submitting payment requests
  • Maintain alumni and corporate contact database according to protocols
  • Coordinate, organize, onboard and track the department's student workers, authorize and submit copies of Student Employment Authorization Forms to Employee Experience; maintain digital records
  • Work with the department of Environment Health and Safety to maintain a safe and secure work and learning environment for students, faculty and staff
Student and Faculty Engagement - 35%
  • Coordinate educational program data and communications with internal partners throughout student experience including curriculum plans, security access, admissions, enrollment, internships, diplomas, etc.
  • Coordinate arrangements for students and faculty with admission portfolio reviews, scholarship review and term reviews including updating deliverables, scheduling rooms, ordering food, collating, and recording scores, score distribution to students, compiling GPA and Financial Aid reports
  • Gather and organize student data for ongoing bench-marking and retention reports according to protocols
  • Support the senior coordinator with New Student Orientation
  • Coordinate and oversee student term representatives and student government engagement
  • Track graduate students on thesis progress and coordinate thesis review and archiving
  • Work with division faculty on updating and organizing course syllabi and LMS class setup
  • Work with the division executive director of academics, chairs, associate and assistant chairs, to schedule courses according to curricular and enrollment needs, including classrooms, faculty teaching and non-instructional loads
  • Collect assets from faculty for archival requirements (accreditation, marketing and communications) al each term (student work, syllabi, etc.) according to divisional protocols
  • Assist executive director of academic affairs in ensuring faculty timecard compliance
  • Create and foster a culture of DEIAB in the division and the College
Non-Essential - 5%
  • Serve on educational or college-wide committees, work groups, task forces and/or councils
  • Other duties as assigned
Required Qualifications
  • High school diploma or GED equivalent
  • At least 2 years of administrative support experience in an office or general administrative environment
  • Strong written and oral communication skills
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.); proficiency in social media platforms
  • Ability to coordinate and manage multiple calendars
  • Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines
  • Ability to work effectively both independently and within groups
  • Ability to maintain good working relationships with various internal and external stakeholders related to the ongoing operations of the division, including professional associates, outside partners, executive leadership, administrators, faculty, staff, students, and alumni
  • Demonstrated experience in cultivating the values of diversity, equity, inclusion, access and belonging into work practices and the ability to establish and maintain effective working relationships within ArtCenter's diverse communities
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business
Preferred Qualifications
  • Bachelor's degree from an accredited college or university
  • Background or interest in art and design
  • Prior experience in higher education
  • Some graphic design capabilities with Photoshop, Illustrator, or InDesign
  • Bilingual skills
