Position Description:

The Project Manager must have deep knowledge and aptitude of hospitality purchasing and project management. Great understanding of brand standards, budgeting, sourcing, purchasing, freight management, and installation practices will be necessary to be effective in this role. Clear communication with clients, contractors, suppliers, designers, logistics and installation teams are pertinent to deliver successful projects. Delivering to the created design intent and remaining within budget and timeline are extremely important. This is critical to the organization and supports delivery of legendary service to our clients.

Position Overview:

  • Clientfacingmanager of assigned projects from design completion through FF&E installation with minimal supervision
  • Provide risk management and solution focused mindset by problem-solving project issues: supplier, design, construction, freight, and installation
  • Assure purchasing and installation processes conform to contractual agreement with client and any sub-contractors
  • Build and maintain high-level contacts with current and prospective clients in conjunction with other business and project partners i.e.: brands, project management companies, architects, design firms, and general contractors
  • Models a highly organized approach to the procurement and project process resulting in on time, and on budget deliverables
  • A sense of business acumen to advise and guide clients, as required
  • Proven track record of success in maintaining and growing client relationships

Position Responsibilities :

  • Attend Preconstruction meeting for select projects
  • Study/familiarize with job Property Improvement Plan (PIP) to ensure all items are being covered in the project
  • Establish purchasing scope of work (responsibility matrix) based on PIP requirements and coordinate with Client/GC
  • Establish requested ship dates of items by liaising between Client/Contractor and designer for construction schedule coordinating purchasing schedule according to project and supplier lead times.
  • Prepare FFE Proposal based on designer provided information (validate cost, sell price, freight, tax). 
  • Communicate with manufacturer representatives to research material selection costs and specification information, as required
  • Communicate complex FF&E budgets and specifications to clients
  • Review FFE Proposal to ensure scope is covered, check for missing items vs. the interior design drawings and original scope of work
  • Send, make edits per client request and receive signed FFE proposal to client
  • Review and approve PO’s, RFI/RFPs from vendors, and order acknowledgments, as required for accurate and on-time purchasing
  • Send shipment status report to client; alert and make changes to delivery schedule
  • Communicate fee schedules and add services with clients and coordinate progress payment and credit hold requests with accounting
  • Respond to client inquiries and lead weekly project meeting with stakeholders 
  • Coordinate communication by project team member, including meeting minutes, email documentation and transmittals
  • Work with install team on site inspections, generate and close out FF&E punch list
  • Gather Sign Off Sheet once Punch List is complete

Reports To: Manager of Project Operations

Start Date: Within 30 days

Work Hours: Typically, 8:30 AM – 5:30 PM EST. Some work from home allowed based on workload after 90 days.

Compensation: Includes market-based salary. Position includes full-time employee benefits package consisting of medical insurance, Paid holidays, 401K, and PTO. Position has a 90-day probation period to determine if you are a fit for the position.

Qualifications and Skills Desired:• Two or four-year college degree in management, operations, hospitality or a related field or equivalent work experience
• Three plus years related experience (FF&E specific preferred) purchasing, supply chain or project management experience
• Demonstrated leadership ability required
• Product knowledge
• Goal-oriented, organized team player
• Strong multitasking and organizational skills
• Excellent communication skills, both verbal and written
• Proficient in Microsoft Office Suite [Excel, Word, Outlook]
• Strong interpersonal skills
