Dept of Family & Protectve Svc is Hiring an Administrative Asst IV Near Austin, TX

The Administrative Assistant IV reports directly to the Director of Program Support under the DFPS Operations team. Performs complex administrative and technical duties in support of Regional Operations unit, including providing support to the Director of Regional Operations. Coordinates the dissemination of information, developing filing systems, and coordinating internal administrative support work. May supervise the work of others. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.
The position interacts routinely with DFPS staff, as well as staff from other state agencies.
Essential Job Functions:
Prepares correspondence, agendas, and meeting notes of behalf of unit and director – 10%
Assists with preparation of reports for program support activities and prepares correspondence and meeting notes of behalf of unit and director. Coordinates meetings, conferences, and seminars. This work includes reserving space, making name tags, making sign-in sheets, creating certificates for attendees, preparing and/or copying materials for attendees such as handouts, working the registration table, and other support work – 20%
Coordinates general office duties such as ordering supplies, submitting purchase orders, and assisting with general human resources work. This work includes backing up other administrative staff in the ordering of office supplies, gathering information from division staff on purchasing needs, scheduling interviews for job applicants, assisting with the on-boarding process for new employees, and other support work -10%
Maintains a system to generate assignments based on information received and to track timely completion. Coordinates, tracks and monitors assignments, and staff actions. Initiates, composes, drafts and types correspondence to support the objectives of the Program Support division – 10%
Maintains files of asset management forms and tracks receipt of requested information – 10%
Tracks requests for sole source or emergency purchase requests and maintains records as required – 5%
Serves as unit record keeper for program support unit – 5%
Maintains records for unit’s equipment - 5%
Manages and maintains schedules and travel arrangements for managers, directors, and executives. This work includes scheduling individual and division meetings, making adjustments to meeting invitations when needed, making travel arrangements including airfare, hotel, and car reservations, submitting travel claims on behalf of directors and executives. May serve as local office coordinator for assigned office – 15%
Serves as back-up for reception and switchboard duties – 5%
Responds to inquiries from field concerning program support activities – 5%
Knowledge Skills Abilities:
Knowledge of agency policies and procedures
Knowledge of office practices and administrative procedures
Knowledge of business services terminology
Knowledge of office procedures and basic filing systems
Skill in effective written and verbal communication
Skill in establishing and maintaining effective working relationships
Ability to operate a personal computer and use various software programs, including those in the Microsoft Office collection
Ability to implement new administrative systems and procedures and to evaluate their effectiveness
Registration or Licensure Requirements:
None required
Initial Selection Criteria:
Experience with software, particularly Microsoft office products.
Experience with agency and/or Health and Human Services software applications.
Graduation from a standard senior high school or equivalent is required. Some college is preferred.
