Job Overview

Davies US is looking for an Internal Communications Coordinator to support internal communications, campaigns, internal events, and other activities within the marketing team. Reporting to the U.S. Internal Communications Manager, you will play a key part in supporting the U.S. and global internal communications team to continuously improve engagement, communication, develop and deliver high quality internal employee communications, and organize events. You will be successful in this role if you possess a high level of attention to detail, are an excellent communicator with the writing and organizational skills to match and can maintain composure when up against tight deadlines while providing professional services and support to a growing team and company. You will be required to work in a hybrid role between being in the Nashville, TN office and working remote from home as well as be able to travel on occasion, up to 5% of the time for event support.

Responsibilities and Duties

  • Support the internal communications strategy by building and distributing all internal U.S. emails and communications in our email marketing system, Poppulo - working to meet tight deadlines and managing key stakeholders and email distribution lists
  • Work collaboratively with the U.S. and Global Internal Communications teams to communicate appropriately and effectively with stakeholders across the business 
  • Keep the Davies intranet regularly updated – including but not limited to editing site pages and uploading of images and news articles
  • Work closely with the internal design team to request digital design assets for emails, intranet assets, in-office posters, and other designed materials as needed 
  • Order and manage the inventory and shipments of merchandise for internal communications activities and events
  • Event planning and support including RSVP management, A/V and catering coordination, venue searching, and other tasks as assigned for all internal communications led events including our bi-annual U.S. Senior Leadership conference
  • Support the development and execution of local CSR initiatives and events
  • Assist with the planning and administration of corporate events in the Nashville, TN office
  • Execute administration tasks for the global Marketing & Communications team where necessary
  • Provide communications and event support for UK internal communications team where necessary
  • Other duties as assigned

Experience & Qualifications

  • Previous experience working in an internal communications &/or external communications related to publications, newsletters, etc., required
  • Bachelor's degree in Communications, Marketing, or another related field 
  • Prior experience working in an events role, preferred, but not required
  • Working knowledge of a Marketing Communications software such as Poppulo, Mailchimp, Constant Contact, etc., preferred, but not required

  • Exceptionally high level of attention to detail with excellent organizational skills
  • Comfortable working in a fast-paced and regularly changing environment while being flexible
  • Capable of managing multiple projects at once with the ability to prioritize projects based on urgency while meeting project deadlines as assigned 
  • Work independently, using own initiative while also collaborating with colleagues to achieve departmental and company strategic goals
  • Display discretion when handling confidential information
  • Superb people skills, including but not limited to coordination with senior stakeholders across the business 
  • Excellent writer and creative thinker
  • A team player with a positive attitude 

Essential Requirements

  • Must have US work rights
  • Willing to travel up to 5%, where needed for event support

Working Hours & Environment

This role is a hybrid, full-time, non-exempt role. This position operates in a professional office setting during days in the office and a home office setting when remote. This role routinely uses standard office equipment such as laptops, printers, and phones. While performing the duties of this job, the individual will be required to regularly hear and talk. This is a sedentary role that requires the ability to sit at a desk, reach outward, use a phone, use of fingers to use office equipment such as a keyboard, mouse, phone, printer, copier, and to reach above the head, bend, or stand, as necessary.
