D D Planning Design Millwork is Hiring an Office Administrator Near Warren, MI

We are looking for a reliable, part-time Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include bookkeeping and purchasing. The ideal candidate will be competent in prioritizing and working with little supervision, be self-motivated, and trustworthy. The office administrator ensures smooth running of our company’s office and contributes to the company’s overall success.

Responsibilities

  • Cheerfully and professionally greet clients when they enter the building.
  • Coordinate office activities and operations to secure efficiency and compliance to company policies.
  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents.
  • Maintaining general office files, including job files, vendor files, and other files related to the company's operations.
  • Manage accounts receivable responsibilities, including mailing invoices and handling electronic deposits for sales.
  • Manage accounts payable responsibilities, including posting bills in Quickbooks and reconciling vendor statements.
  • Perform purchasing tasks such as placing material orders as directed, creating and maintaining purchase orders in Quickbooks, and tracking material orders.
  • Track stocks of office supplies and place orders when necessary.
  • Manage travel arrangements as needed.
  • Submit timely reports and prepare presentations/proposals as assigned.
  • Assist colleagues whenever necessary.

Skills

  • Proven experience as an office administrator, office assistant or relevant role.
  • Experience with Quickbooks preferred.
  • Outstanding communication and interpersonal abilities.
  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Excellent organizational and leadership skills.
  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word and Excel).
  • Familiarity with office management procedures and basic accounting principles.
  • High school diploma; BS/BA in office administration or relevant field is preferred.

Job Type: Part-time

Pay: $18.00 - $22.00 per hour

  • Administrative Assistants & Receptionists: 1 year (Required)
