CVPH Medical Center is Hiring an Executive Assistant Near Plattsburgh, NY

Overview:
In addition to the common responsibilities, specific responsibilities have been identified as essential to this position’s effective functioning. These requirements are summarized below. The position specific responsibilities are addressed individually in Job Knowledge/Skill Competency Part II.
General Summary:
The Executive Assistant will have overall responsibility for the daily operations of members of the Leadership team (AVPs and above) and other departments, as needed. This position interacts with all leadership and staff, as well as with members of the Board of Directors, Medical Staff, patients and their families, and other individuals and groups as a representative of the Leadership team and the organization. Diplomacy, integrity, respect, organization and initiative are key attributes of this position.
Special Criteria Details: This role supports the Chief Medical Officer. Responsibilities:
  • Provides confidential administrative support to members of the Leadership team. This includes, but is not limited to, office organization; management of daily schedule/answering & screening telephone calls/mail; spreadsheets; presentations; projects; meetings; transcription and typing; and travel arrangements.
  • Acts as a liaison for members of the Leadership team and the organization.
  • Responsible for compiling information and creation of presentations for Committee and Divisional Meetings.
  • Provides administrative support for the members of the Leadership team, Medical Staff personnel, and other departments, as needed, and coordinates and maintains meeting rooms and conference line schedules.
  • Develops and maintains a supportive relationship with Directors, Managers, and Supervisors.
  • Planning and coordination of all aspects of functions, events, meetings, travel, conferences, etc.
  • Other duties as assigned.
  • In the absence of an Executive Assistant, responsible for providing administrative support to any member of the Leadership team.
  • Proactively ensures the Leadership team has materials for all meetings.
  • Coordinates/manages consistent, standardized administrative support for the Administration Office.
  • Provides confidential administrative support to the Board of Directors and other various Committees.
  • Acts as a resource on any organizational matters.
  • Records and maintains all meeting minutes in an accurate/permanent manner.
  • Maintains systematic filing procedures to ensure the above.
  • Participant in the All Leaders meeting and additional meetings, as assigned.
  • Maintaining up-to-date and accurate policies.
  • Ensures compliance with Medical Center policies, procedures, the Joint Commission standards, and state and federal regulations.
  • In the absence of an Executive Assistant, responsible for managing supplies and equipment as necessary.
Qualifications:
  • Business Oriented Associate degree required.
  • Bachelor's degree preferred.
  • Extensive experience in Microsoft Office Suite a must, excellent written and oral communication skills, expertise in grammar and report writing; must possess vigorous work ethic and commitment to excellence; highly confidential; dependable, with high degree of flexibility; strong interpersonal, leadership and diplomacy skills required; positive professional image, propriety and good taste in conduct and appearance. Some evening and weekend work.
  • Seven (7) to ten (10) years progressive administration experience to support working in a complex environment dealing with a wide variety of people including management, employees, Medical Staff, and the public.
  • Working knowledge of office automation skills.
  • Windows based software preferred (Word, Excel, PowerPoint). Access required; and ability to conduct research on the Internet a must.
As applicable, the individual has training / competency in attending to the special needs and/or behaviors appropriate to the age of the patients for which care is being provided.
