Crescent Hotels & Resorts is Hiring an Executive Meeting & Event Manager Near Sarasota, FL

  • Responds in a timely manner to incoming group/catering business opportunities.
  • Prepares all event documentation and coordinates with sales, hotel departments and customer to ensure consistent, high level service throughout pre-event, event and post event phases.
  • Recognizes opportunities to maximize revenue opportunities by up selling and offering enhancements to create outstanding events.
  • Acts as liaison between field sales and customer throughout the event process. Makes presence known to customer at all times during this process. Is available to solve problems and/or suggest alternatives to previous arrangements.
  • Proactively identifies operational challenges associated with his/her event and works with the hotel staff and customer to solve these challenges and/or develop alternative solutions.
  • Manages banquet and meeting space for assigned groups.
  • Promotes hotel, develops leads and secures re-bookings.
  • Accesses and inputs data into a computer system to generate account history reports.
  • Builds and maintains strong client relationships.
  • Prospects for new business – Internet prospecting, cold calling and contacting former clients to solicit new business and attends industry events/programs as needed.
  • Ensures that all business is quoted and contracted within hotel parameters as established by General Manager and property revenue management team.
  • Conducts hotel site inspections and client presentations both in person and virtually.
  • Use negotiating skills and creative selling abilities to close on business and negotiate contracts.
  • Create contracts and other related booking documentation as required including but not limited to activity tracking. Manage and maintain client account files.
  • Create group resumes and communicate client needs to all departments of the hotel. Ensure hotel staff follows through on all requests.
  • Detail events to include all food & beverage, set up and audio-visual needs. Ask appropriate questions of the clients and make suggestions to ensure the details meet the group and the hotel’s needs.
  • Communicate both verbally and in writing to provide clear direction to staff.
  • Supervise the set-up of function rooms to include placement of linens, silver, china, and glassware according to event order specifications. Visually inspect function rooms and equipment prior to functions for cleanliness, proper inventory, and set up.
  • Enter billing information into point of sale/automated sales system in order to generate a final guest check. Process payroll for each event which includes calculating number of hours worked and gratuity distribution.
  • Establishment and management of all group room blocks within designated systems and contractual covenants.
  • Perform any other job-related duties as assigned.

What experience do you need?

Must have the ability to communicate in English. Self-starting personality with an even disposition. Maintain a professional appearance and manner at all times. Can communicate well with guests. Must be willing to “pitch-in” and help co- workers with their job duties and be a team player. Knowledge of a hotel structure and how all departments interact. Ability to effectively communicate with customers in a friendly and positive manner, in order to solicit business, meet client needs and resolve complaints. Ability to move throughout the hotel to conduct site inspections.
