Summary: Under the supervision of the Chief of Staff, the Administrative Assistant completes assignments and tasks for the Executive Leadership Team to maximize the efficiency and effectiveness of the Leadership team's work. The Administrative Assistant is responsible for the execution and completion of specific tasks, ensuring consistency with organizational strategy, commitments and goals.

Essential Duties: Essential job duties for this position include the following items. Other duties must be performed as assigned or required.

  • Performs all job functions according to the mission and values of Crescent
  • Provide administrative support for the Executive Leadership Team
  • Schedule appointments and coordinate visitor access
  • Assist with planning and organization of meetings and/or special agency events
  • Assist with HRSA tasks and preparation as needed and required
  • Uploading to and document management of CCHC member portals
  • Arrange for travel for staff as assigned by Chief of Staff
  • Reconcile credit card(s) for the Executive Leadership Team as assigned by Chief of Staff
  • Complete administrative tasks such as photocopying, scanning, mailing and faxing
  • Greet visitors and ensure they have signed in and have the proper security badge for the day, week or other
  • Receive, process and distribute mail
  • Create gift acknowledgements for donations and pledges
  • Assist with maintaining the donor database and prints labels when needed
  • Manage office supply inventory and ordering
  • Display a caring and helpful attitude toward staff, patients and visitors
  • Demonstrate commitment to CCHC mission, values and standards
  • Use of Word, Excel, PowerPoint, Outlook, other platforms for effective meeting coordination (Doodle Polling, Zoom, Teams, etc.)
  • Use technology such as paging, transferring calls and voicemails that may transfer to Administration
  • Ability to work flexible hours to meet organization needs with priority given to Board and Committee meetings
  • Maintain confidentiality regarding patient and CCHC information
  • Maintain a cooperative, professional and efficient work environment
  • Communicate regularly with Chief of Staff to assess progress on tasks to level expectations around task completion, expectations for completion, quality, timeliness and identify mitigating factors to ensure success
  • Exceptional service ethic and skills, including effective interactions, responsiveness, resourcefulness and follow-through
  • Work toward continuous quality improvement.
  • Stay current with changing best practices and technologies.
  • Uphold, support, and promote all company policies and procedures.
  • Other duties as assigned

Qualifications: To perform this job successfully, the individual in this position must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skills and ability required.

Education/Experience:

  • High school diploma or GED required; related post-secondary education preferred
  • Three years' experience in a confidential office setting coordinating the efforts of multiple leaders preferred

Language Skills:

  • Communicate clearly, professionally, and respectfully with all patients and staff.

Mathematical Skills:

  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability:

  • Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems.
  • Ability to deal with nonverbal symbolism (formulas, graphs, etc.,).
  • Ability to deal with a variety of abstract and concrete variables.
