POSITION DUTIES:
1. Processes change of status forms by inputting new hires and changes in employee’s employment into HRIS platforms. Updates HRIS with employee documents, degrees and licenses. Inputs and updates Taleo.
2. Conducts reference checks, schedules fingerprinting and medical appointments. Prepares and distributes medication administration class correspondence and lists of participants for Employment Coordinators. Prepares materials for orientation sessions as needed.
3. Performs required various compliance and background checks for all newly hired employees including Sex Offender Registries, and fraud websites (SCR, SEL, MHL). Completes monthly fraud checks (EPStaff Check) and new hire reporting.
4. Prepares internal job postings and distributes weekly and/or as needed. Assists in external postings a requested.
5. Handles unemployment insurance questionnaires received from a third-party vendor in a timely manner. Sends follow-up communications to management when clarification is needed on status of termination.
6. Acts as a backup for benefits functions including worker’s compensation, disability, and unemployment claims as needed.
7. Creates and distributes to respective Managers weekly Employee Leave Reports. Follow-up with Managers verbally and in writing regarding employee status. Disseminate letters to employees requesting date of return to work and/or additional information needed.
8. Creates reports as required including monthly/quarterly anniversary, employee bio data, and licensing reports on a regular basis and as needed. Distributes anniversary reports on a quarterly basis for all staff. Tracks submission of all completed evaluations.
9. Creates I-9 reports monthly, requests information from employees regarding their work authorization and updates HRIS accordingly.
10. Attend job fairs as needed and assists in the job fair preparation.
11. Assists in recruitment by screening and participating in interviews as needed.
12. Prepares employee transfer letters and other correspondence.
13. Prepares new hire employee files in preparation for scanning.
14. Completes monthly fraud checks (EPStaff Check) and new hire reporting.
15. Responds to requests for information regarding terminated employees and former volunteers/interns. Responds to requests for information needed for audits.
16. Assists Generalist by completion of union notification letters; updating HR forms; updating job descriptions, evaluations, and HR Receptionist with employment verification requests; creating agency identification cards.
17. Handles special projects, mailings, and events.
18. Performs all other duties as assigned.
REQUIREMENTS:
1. Bachelor’s Degree.
2. Excellent verbal and written communications skills.
3. Excellent knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
4. HRIS and ATS experience.
5. While performing the duties of this job, the employee is regularly required to use hands and fingers to handle, feel, or operate objects, tools or controls, and reach with hands and arms. The employee must occasionally lift and/or move up to 5 pounds.
6. Performs all job responsibilities in full compliance with all applicable laws, rules, regulations, policies and procedures. Adheres to the agency’s corporate compliance program, including the code of business conduct, the NYS and Federal False Claims Acts, whistleblower protections and mandatory reporting. Completes corporate compliance training at least annually. Fully cooperates in all corporate compliance investigations and reviews.
