Copyright Clearance Center is Hiring a Team Lead - Records Center Near Durham, NC

The Team Lead will supervise a staff of Document Controllers who perform a variety of clerical and administrative tasks to support our pharmaceutical client’s Library Records Center. You will support both paper and electronic documentation and records management activities and coordinate day-to-day management of the library, in accordance with good documentation procedures, and in alignment with client onsite management. You will have previous leadership experience as well as team building skills and excellent communication skills. This full-time (M-F) position is located at our pharmaceutical client’s Parmer campus at the Research Triangle Park (RTP) in Durham. CCC offers new hires 3 weeks' vacation to start and 401k, medical and dental benefits effective on date of hire.

What you will be doing:

This is a dual role in that the Team Lead will direct work and workflow of two Document Controllers to meet the needs of the client while also processing record center documents.

Perform Team Lead duties:

  • Direct, inspire and motivate staff of 2 Document Controllers through training, coaching and active team-building
  • Partner with client to maintain library operations in support of client business needs and requirements
  • Coordinate training and onboarding activities of new staff members
  • Delegate and distribute assignments
  • Respond to and manage time off requests - work with onsite management to ensure sufficient library coverage 
  • Monitor team performance and productivity. Track and maintain quality records and measurements 
  • Support adherence to applicable client standard operating procedures (SOPs)
  • Manage team goals and objectives and prepare and deliver annual performance reviews 

Documentation and records management duties utilizing Veeva Vault Quality Docs electronic data management systems (EDMS) and other resources as follows:

  • Provide documents via on-line requests and customer visits to the Library 
  • Populate and keep current a database of all documents/records received into the Library 
  • Manage document retention as directed by client. This includes shipment of GMP records to external storage location for long term retention as necessary. 
  • Maintain regular communication with management regarding changes or issues as they arise
  • Meet with client personnel to review documents and assign appropriate metadata when adding documents into the applicable EDMS. 
  • Work closely with Quality, Learning and Development, and other client functions to capture and confirm document needs as required. 
  • Assist in support of processes for updating, distributing, routing, and approval of electronic documents by client personnel. 
  • Day to day management and monitoring of assigned EDMS workflows. 
  • Support external and internal audits through providing readily accessible records as requested for review by regulatory agency and Notified Bodies, and/or client Quality group 
  • Support client Site self-inspections associated with document control and the electronic data management system (EDMS). 
  • Generate monthly metrics 
  • Coordinate process improvements 
  • Complete client document training and support compliance to local good manufacturing documentation as provided by client management. 
  • Manage client annual department signature logs. 
  • Monitor and perform document periodic reviews within EDMS according to client standards and procedures. 
  • Follow up with document owners to support timely reviews and updates
  • File documentation as appropriate
  • May be accountable for other results and activities as assigned

What you will need:

  • Bachelors or Associates degree preferred or equivalent experience in a records or documentation center
  • 2 years supervisory experience including performance management, training and coaching staff
  • 2-4 years of previous experience in records management, data entry, or similar experience
  • Experience in the pharmaceutical or biopharmaceutical industry, a plus
  • Experience with documentation in a GMP or regulated environment and electronic tracking of documents 
  • Experience in quality systems such as TrackWise, Veeva Vault QualityDocs or other records management system
  • Experience working in an environment that adheres to strict standard operating procedures 
  • Demonstrated customer service experience 
  • Excellent written and verbal communication skills
  • Demonstrated experience managing processes and workflows
  • Demonstrated ability to work successfully in a diverse team environment
  • Extraordinary attention to detail and organizational skills, with the ability to work efficiently, meet deadlines and deliver on customer expectations
  • Demonstrated proficiency and accuracy with alphanumeric data entry
  • Proficiency with Microsoft Office (Outlook, Work, & Excel) and standard office equipment (printer, scanner, copier, etc.) 
  • Flexibility in schedule for some overtime, as needed, to support internal or external audits 
  • Ability to climb stairs, bend and reach for filing, lift up to 30 lbs. as part of moving/organizing file boxes
  • Will be required to pass drug screen and background check
  • Proof of COVID-19 vaccination will be required upon hire
