Copley Health Systems is Hiring a Staffing and Scheduling Coordinator Near Morrisville, VT

Overview

The Staffing and Scheduling Coordinator is responsible for making sure that the nursing division staffing requirements for every work shift comply with both internal and external policies of an organization. This individual is required to work independently as well as in collaboration with different members of the organization, problem solve, make decisions and address staffing concerns to the nursing management team as needed. 

Responsibilities

  • Works with Nurse Mangers /department leaders on staff schedules assuming responsibility of unit based schedules after final review by manager.
    • Keep department manager updated on any possible staffing challenges or needs 
    • Prepare and submit staffing reports to leadership
    • Maintain work schedules and allocate employees to different duties and/or shifts
    • Take responsibility for responding to unexpected time off from employees, covers shifts and works with time-keeping to ensure payroll accuracy
    • Manage regulatory staffing patterns put in place by outside agencies.
    • Update and maintain electronic schedule, adding and removing any new and old staff
  • Coordinate the scheduling for the staff who work in multiple roles
    • Flex nurses
    • Cross Trained 
    • Per Diem deployment
    • Clinical Resource Pool
    • Work closely with recruiting agencies to fill any existing vacancy in an appropriate way. including traveler placement-management (contract, payroll- invoice management)
  • Ensure adherence to union contract staffing, scheduling, holiday articles and rules.
    • Manages seniority lists: floating, flexing, incentives
    • Manages EHB contracts; ensures compliance.
    • Manages time-off requests- ensures appropriate coverage and compliance
    • Ensures staff compliance with schedule rotations, weekends as per union contract
  • Maintains paper and computer files in an organized and professional manner.
  • Other duties as assigned

Qualifications

Education Requirements:

  • High School Diploma or equivalent

Experience Requirements:

  • Must have broad based administrative, transcription and computer skills including proficiency in Microsoft Office Products (Outlook, Word, Excel, Power Point, etc.). Must be skilled in the use of spreadsheet software and flow chart software.

Skill Requirements:

  • Must have excellent communication skills, especially verbal/oral communication.
  • Must be able to work as part of a team, i.e. he/she must be an excellent team player
  • Possession of good organizational and leadership abilities 
  • Ability to work with little or no supervision
  • Good interpersonal skills
  • He/she must prove to be extremely reliable
  • Must have excellent time management abilities
  • Must be able to work effectively under stressful situations.
  • Knowledge of hospital service area and related institutions preferred.
