Job Description

Description

The Project Support Coordinator is a key member of the Network and Programs Team which works with over 650 partners and programs across the state focused on addressing food insecurity. The position is responsible for coordinating projects as well as providing administrative support for the team, ensuring projects are completed efficiently, on time and with excellent attention to detail. The Project Support Coordinator will use their administrative skills to improve the overall effectiveness of the team and is responsible for interacting in a positive, professional and collaborative manner with the food bank’s partners and programs and with food bank staff.   This position reports to the Network and Programs Support Manager.
 

Essential Functions:


Project Support

  • Assist with coordination of a grant program to provide financial support to network partners; send information, track responses, provide follow up, schedule review meetings, summarize results for multiple audiences and present in a clear concise manner.
  • Coordinate special projects such as allocations of donated funds, equipment (e.g. laptops, refrigerators/freezers, etc.) or other resources to our network partners
  • Assist with allocation of Thanksgiving foods to network partners; create and maintain spreadsheet; create mail merge to communicate allocations etc.

Administrative Support

  • Provide support to team leaders as needed, scheduling meetings, preparing presentations, creating spreadsheets and reports, as well as researching and collecting information.
  • Assist in coordination of network partner application process:
  • Review applications to ensure that all information is complete and requested documents submitted; follow up as needed.
  • Track incoming applications to ensure they are reviewed within the required time frame and that clear next steps have been communicated to the agency.
  • Set up new agency records in database to ensure accuracy and consistency.
  • Update and maintain accurate computer records 
  • Manage external meeting or workshop attendance, including registration and providing necessary information to finance team.
  • Assist in the completion of various reports and surveys from Feeding America, outside funders State or Federal agencies, etc. 
  • Create standard operating procedures as required


Other Functions:

  • Provide back-up to the Customer Service Representative, including answering and transferring calls.
  • Answer questions regarding Network Partner requirements, provide documents or training tools as requested.
  • Perform other duties as assigned.


Requirements

  • High School diploma or GED is required plus a minimum of 4 years relevant work experience or continued education.
  • Advanced skills in use of Microsoft Office Suite 
  • Takes initiative; proven ability to work and solve problems independently.
  • Past professional experience in coordinating projects, preparing reports and customer service required.
  • Ability to easily adapt to and learn new technology or software.
  • Excellent interpersonal and customer service skills. 
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
