Brief Description:

We are looking for an Accounts Payable Coordinator to manage our corporate Accounts Payable function. In this role, you will be asked to perform accounting and clerical tasks for the maintenance and processing of accounts payable transactions.

Overview:

Under the direct supervision of the Accounting Manager, as the Accounts Payable Coordinator, you will process all invoices and will assist in each month’s accounting close process. You will be responsible for the accuracy and timeliness of payments sent to our vendors.

Responsibilities/Job Duties:

· Timely enter all invoices into financial accounting system (current QuickBooks), verify data, maintain accounts payable records, and provide other clerical support necessary to track and pay the obligations of the organization

· Clarify any questionable invoice items, prices or receiving signatures

· Verify and calculate all extensions and totals on invoices (calculating and taking discounts when applicable),

· Send out invoices to internal staff for payment approval(s)

· Check vendor files for any previous payments, assemble invoices to be completed for payment

· Prepare weekly check run for approval and disbursement

· Maintain all copies of checks, invoices and correspondence necessary for complete and auditable files

· Reconcile and post corporate Visa statement each month, allocating to correct Trust funds or to corporate expense, as appropriate

· Provide copies of invoices for prepaids, fixed assets and capital leases to Accounting Manager for proper financial accounting treatment

· Collect W-9’s, and prepare/send annual 1099’s, as appropriate

· Prepare periodic reports and other analysis, as requested

Minimum Qualifications

· 3 to 5 years’ accounts payable experience

· Highly organized with efficient prioritization skills

· Demonstrated attention to detail

· Ability to work with confidential matters

· Must be punctual and able to meet weekly, monthly and annual deadlines

· High School Diploma or equivalent

Preferred Qualifications

· Two- or four-year degree, in addition to experience

· Previous accounts payable management, or as sole accounts payable resource
