Position type: Full time Compensation structure: Salaried

Work Location and Structure: Otis Orchards office; hybrid remote and in office, with required days in office variable based on onboarding, offboarding, interviewing and occasional meetings. May require additional in office time depending upon tasks, meetings or other requirements.

Travel: Not expected but could require travel to clients’ offices depending on work assignments.

Position Overview: 

The Human Resource Coordinator aids with and facilitates the human resource processes at all business locations. This role administers employee health and welfare plans and acts as liaison between employees and insurance providers. This position resolves benefits-related problems and ensures effective use of plans and positive employee relations. The Human Resource Coordinator makes that certain plans are administered in accordance with federal and state regulations and that plan provisions are followed. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and BambooHR, onboarding, offboarding, resolution of HR issues and monitoring HR trends. 

Essential Functions: 

  • Maintaining a smooth onboarding process. 
  • Training, counseling, and coaching staff when issues are elevated to the HR level from department managers, pod facilitators or COO. 
  • Resolving conflicts through positive and professional mediation. 
  • Ensuring policy awareness and providing updates to the employee manual as needed. 
  • Maintaining and reporting on workplace health and safety compliance. 
  • Maintaining confidentiality and privacy of employee and workplace records and issues. 
  • Managing the benefits selection and implementation process, including health insurance contracting, interfacing with Rehn & Associates etc. 
  • Identify ways to increase staff retention and productivity, including strategies to enhance employee engagement, leadership and staff development, regular feedback and coaching, career pathing, and promoting a coherent organizational culture that positions Community Link Consulting, Inc. as an “employer of choice.”
  • Lead the effective and efficient administration of the performance management process, making sure that the organization’s managers and pod facilitators are equipped to engage in constructive and ongoing feedback and coaching, collaborate effectively when co-managing staff, and encourage staff to actively participate in identifying and addressing performance gaps.
  • Mitigate legal risk to the organization through proactive training and education, clear systems and processes for managing conflicts with and between employees, handling and investigating complaints of harassment/discrimination and other unjust practice allegations.
  • Coordinate with outsourced HR firm to maintain current knowledge and application of all relevant laws and regulations at the local, state and national level relating to employment and ensure organizational compliance. This includes educating and advising managers, pod facilitators and senior leaders on HR-related legal and regulatory matters and ensuring HR programs, practices and policies are aligned. Ensure that employee files and records are properly and securely maintained. 
  • Monitor HR updates on states where CLC has employees and inform management team and employees as needed 
  • Manage Benefits - health; Met Life; Simple IRA; cdh; FSA 
  • Administers health and welfare plans, including enrollments, changes and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions. 
  • Performs customer service functions by answering employee requests and questions. 
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Submits online investigation requests and assists with new-employee background checks. 
  • Reconciles benefits statements. 
  • Assists with processing of terminations. 
  • Assists with the preparation of the performance review process. 
  • Assists with recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process. 
  • Schedules meetings and interviews as requested by the business office manager 
  • Makes photocopies; mails, scans and emails documents; and performs other clerical functions. 
  • Files documents into appropriate employee files. 
  • Assists or prepares correspondence as requested. 
  • Prepares new-employee files. 
  • Performs other related duties as assigned.

Required Competencies (knowledge, skills, abilities): 

  • Experience in human resources or related field. 
  • Experience in multi-state employment 
  • Ability to build and maintain positive relationships with colleagues. 
  • Experience in educating and coaching staff. 
  • Experience in conflict resolution, disciplinary processes, and workplace investigations. 
  • Experience in following and maintaining workplace privacy. 
  • Ability to give presentations. 
  • Knowledge of relevant health and safety laws. 
  • Experience using computers for a variety of tasks. 
  • Competency in Microsoft applications including Word, Excel, and Outlook. 
  • Understanding of accounting projects and FQHC acronyms and terminology

  • Ability to identify, influence, and collaborate with key stakeholders to achieved desired organizational outcomes 
  • Outstanding judgment, sensitivity, and high discretion 

Required Education and Experience: 

  • 5 years HR experience 

Preferred Education and Experience: 

  • Bachelor’s Degree 
  • SHRM certification 

Physical Requirements: 

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times. 
  • Able to travel as needed. 
  • Must be able to be in the office a minimum of two days per week.
