Position Title: Volunteer Coordinator

Host Site Name: Community Health Action of Staten Island (CHASI)

Location: 2134 Richmond Terrace, Staten Island, NY 10302

Tentative Schedule: Tuesday-Saturday, 9:00 am-5:00 pm

Compensation: Stipend of $18,500 for term of service plus metrocard and educational assistance

Need for the specific project on which AmeriCorps Member is serving:

This position offers the opportunity to serve as the primary point of contact for Community Health Action of Staten Island (CHASI) Food Pantry volunteers and the coordinating volunteer agencies. Volunteers are essential to the operations and services provided at CHASI Food Pantry. This position plays a principal role in organizing, tracking, reporting and coordinating incoming volunteers as well as creating new alliances between agencies with consumers interested in volunteering and CHASI Pantry via engagement and community outreach.

As a part of the CHASI Food Pantry Team, the AmeriCorps member will have the opportunity to build interagency relationships across the Staten Island nonprofit network, and gain experience in volunteer management/coordination and community outreach and engagement, creating appropriate job descriptions for volunteers in cross agency programming and events geared specifically towards volunteer appreciation.

Expectations and Goals for the specific project on which AmeriCorps Member is serving:

The AmeriCorps member will support the structuring and configuration of an expanding volunteer network. The member will aid in identify and recruiting volunteers from within the community, develop volunteer job descriptions, delivering information via community outreach and supporting directors and program staff in representing CHASI Food Pantry.

In addition, the member will be a consistent point of contact for volunteers at the office/pantry and aid in building an effective system for tracking attendance and verifying service hours, booking volunteer groups, providing introductory information and walk-through tours of interested groups, tracking outcomes and coordinating events. Member will aim to achieve a goal of creating a tracking system for current and new volunteer programs, train at least 25 volunteers at the Pantry and expand volunteer partnership by 5%.

Member Position Summary:

The AmeriCorps member will provide management, organization and be the critical point person for volunteers and volunteer opportunities at CHASI Food Pantry, ensuring that volunteers and partner organizations have a successful volunteer experience. This position will work to build capacity by expanding the volunteer network, the regularity of the volunteering and creating design for volunteer booking and attendance verification.

The Volunteer Manager will work from CHASI Pantry Storefront at 2134 Richmond Terrace, approximately 85% of the time, focusing on identification and outreach to volunteer groups, serving as a central resource for volunteer inquiries, developing volunteer evaluations and creating structuring configuration for the existing volunteer pool. The Volunteer Manager will work on community outreach and engagement with the community's nonprofit web approximately 15% of the time, educating agencies and community members of the volunteer opportunities within the CHASI Food Pantry and CHASI, ensuring diverse populations within the volunteer pool.

Detailed Tasks:

  • Serve as the primary contact for CHASI Food Pantry volunteers.
  • Build relationships with schools, youth programs, faith-based organizations, community-based organizations and other external partners to strengthen the CHASI Food Pantry volunteer network.
  • Engage with Staten Island nonprofit agencies, meet staff, and learn about the organization's approach to food insecurity and volunteer opportunities across the CHASI member network
  • Source and recruit volunteers through various techniques, such as databases, volunteer hubs, outreach and email.
  • Serve as the internal resource for CHASI Pantry staff on engaging volunteer groups, providing scheduling details, and coordinating special volunteer requests across departments. Put together schedules for everyday activities.
  • Develop procedures for volunteers including volunteer job descriptions, document checklists, training materials, sign in sheets, volunteer agreements, etc.
  • Increase recruitment through email, phone calls and other local activities, working with the Communications Department on a social media campaign.
  • Monitor and report on volunteer registrations bi-weekly and identify volunteer gaps to specifically target for outreach
  • Identify and document single visited, on occasion and weekly reoccurring volunteers and groups for regular recognition
  • Create and implement and organizational framework for streamlining information on existing volunteers and their perspective agencies
  • Coordinate teams of volunteers, on both a small- and large-scale action and to create weekly volunteer schedules and updating Pantry calendars to reflect
  • Ensure all volunteer attendance is tracked and updated daily
  • Working with CHASI Data Department on outcomes and specific outputs for a Volunteer

  • Respond to volunteer inquires via phone, volunteer hubs and email to ensure friendly and timely follow up
  • Provide customer service opportunity planning and production support
  • Lead special events that focus on volunteer appreciation
  • Align all activities with CHASI's policies, mission, vision, and values

Requirements

Required Skills for AmeriCorps Members (set for all program members):

  • A clear plan for living on the AmeriCorps stipend in New York City
  • Availability to lead and/or attend events during evening and weekend hours (frequency varies by position)
  • Minimum high school diploma or equivalency
  • Ability to pass a criminal background check
  • US Citizen or lawful permanent resident (AmeriCorps regulations)

Preferred Academic or Experience Qualifications, Knowledge, Skills, and Abilities:

  • Leadership experience in directing teams of volunteers, students or peers
  • Ability to bring a positive and flexible outlook to all interactions with volunteers and staff
  • Prior experience in an office environment preferred
  • Proficiency in Outlook, Word, Excel and PowerPoint preferred
  • Comfortable communicating clearly and professionally to diverse audiences by phone and email
  • Comfort with public speaking
  • Spanish, Arabic, or Mandarin language skills a strong plus!
