Communities In Schools of Charlotte-Mecklenburg In is Hiring a Remote Accounts Payable Analyst

Description

SUMMARY

Reporting to the Vice President of Finance, the Accounts Payable Analyst (APA) will support agency wide accounting services and other related financial functions. This position will be responsible for all aspects of Accounts Payable including researching variances, supporting credit cards and expense policies, and identifying process improvement opportunities to support our high growth organization.

The APA will ensure invoices are paid on time, resolve complex issues with invoices, approvals, and uploads, enter credits, journal entries, maintain vendor data, create and analyze reports and provide guidance to resolve discrepancies. This position will also prepare reports to track to the Zero Based Budgeting process and reimbursement base grants.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Understand general principles, practices, regulations, and procedures as they relate to supply chain and accounts payable(AP), and seek ways to expand knowledge of those areas
  • Development of robust accounts payable, expense reimbursement, and procurement procedures to maximize efficiencies
  • Serve as an expert in AP related policies to support internal and external customers. 
  • Provide excellent customer service, training and problem resolution in a timely manner to internal and external customers. 
  • Responsible for the Travel & Expense program, policy and procedures, training, audits and reporting. Manage Corporate Credit Cards and monthly reconciliation process
  • Maintain and support vendor relations and research, analyze, and resolve complex vendor issues
  • Ensure appropriate controls and audits are being performed, review results and take corrective actions where needed
  • Responsible for electronic business rules, set up and account profile maintenance
  • Ensure all necessary Accounts Payable information for the year-end Audit is provided
  • Preparation and reporting of the year-end 1099 process
  • Run and review AP data reports including the quarterly departmental spending reports, monthly open payables report, 1099 reports, etc.
  • Prepare monthly financial statements, reports and records by collecting, analyzing and summarizing account information
  • Ensure accounting principles comply with GAAP requirements
  • Develop recommendations to optimize company’s accounting systems and procedures and detect inefficiencies
  • Review and analyze financial data and create reports for use by managers to evaluate budget variances and assist with budget forecasts
  • Research and reconcile all discrepancies and audit and verify documents
  • Support business processes and accounting policies and prepare/maintain corresponding documentation
  • Participate in Board of Director finance committee meetings 
  • Articulate the mission, vision and philosophy of CIS
  • Help plan and support additional projects as needed

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION, EXPERIENCE & SKILLS

  • A bachelor’s degree in Accounting, Business or related financial discipline or equivalent education and experience 
  • A minimum of 3 years of accounting experience required
  • Knowledge of Blackbaud Financial Edge software is a plus
  • Considerable knowledge of accounting process and principles with emphasis on non-profit and grant/fund accounting and automated tools
  • Experience with trend analysis, data analytics and reporting
  • Demonstration of critical thinking and analytical skills are essential
  • Excellent process improvement skills 
  • Ability to work independently to make sound judgments and excel in a complex, demanding, time-sensitive deadline environment
  • Demonstrated computer proficiency in Microsoft Word, advanced knowledge of Excel and experience with Google Suite, Zoom and other virtual meeting platforms 
  • Strong verbal, written and interpersonal communication skills 
  • The ability to build and maintain strong relationships while fostering a spirit of collaboration with colleagues
  • Ability to work a flexible schedule 
  • Detail oriented, multi-task capable, well organized and able to manage high levels of work
  • Proven ability to work with and maintain confidential information
  • Demonstrate the ability to be a financial subject matter expert to the organization in support of the organization’s mission

PHYSICAL DEMANDS 

While performing the duties of this job, the employee is frequently required to sit; use hands to handle, feel and keyboard; reach with hands and arms; and talk or hear. The employee is occasionally required to stand; walk; stoop, kneel, or bend. The employee must occasionally lift and/or move up to 25 pounds. The position is located within the Charlotte Mecklenburg area. Regular and satisfactory attendance and punctuality are required. Regular and satisfactory performance including meeting all process deadlines and stated deliverables is required.
