Comfort Keepers Home Care is seeking an Administrative Coordinator for our Spartanburg, SC office. The Administrative Coordinator is responsible for front-desk coordination, as well as assistance with bookkeeping and payroll. 

At Comfort Keepers, we provide uplifting in home care for seniors and older adults who require personal care, companion care, and day-to-day assistance in their homes. As our Administrative Coordinator, you will have the opportunity to help suppourt our beloved clients and caregivers in delivering quality customer service that enhances their lives.

Job Summary:

  • Conducts quality review checks on all scheduled hours and completes finalizing of all shifts.
  • Processes all billing and monitor/reports accounts receivable.
  • Processes caregiver payroll, monitors and responds to the employee payroll line, and provides payroll support and various proof of income
  • Maintains caregiver and client files to ensure all files are accurate and complete. 
  • Monitors inactive files of clients and caregivers to ensure files are properly documented and closed.

Qualifications:

  • College degree or equivalent experience in related/accounting field preferred. Knowledge of office procedures and health care also preferred.
  • Requires proficiency in QuickBooks and Microsoft Office (Word, Excel, & PowerPoint). Will also need to be able to master additional software.
  • Must possess above average customer service, problem solving, financial, analytical, and organizational skills.
  • Must be able to work under time pressures and manage multiple demands simultaneously. Extreme attention to details is essential.
  • Must be a team player willing to share information and work cooperatively with other members of the management team and caregiving staff.

Essential Functions:

  • Monitors all shifts worked and completes daily finalizing for billing and payroll, maintains and reports any errors to office staff.
  • Weekly billing for all clients and payor sources.
  • Records all receipts regularly and in a timely manner.
  • Weekly reporting of accounts receivable, researches delinquent items.
  • Processes weekly caregiver payroll, monitors and responds to the employee payroll line, and reports inconsistencies and/or recommendations on pay rates to the executive committee.
  • Monitors and reports caregiver and client inactivity.
  • Converts all newly hired caregivers, uploads paperwork, and sets them up in the system,
  • Manages all Leave of Absence (LOA), Family Medical Leave Act (FMLA), Verification of Employment (VOE), and Loss of Income (LOI) requests.
  • Monitors DEO site, responds to requests for information, notifies the Executive Committee when there is a DEO hearing, and assists with the preparation for all DEO hearings.
  • Works with regional Client Service Managers to obtain any missing records or to correct issues.
  • Conducts routine auditing of caregiver files, auditing employee training files and expiring certifications and licenses.
  • Remove caregivers from payroll system upon termination as advised from branch Staffing Coordinators
  • Maintains ACA reporting within payroll system for benefit status reporting.
  • Monitors inactive files of clients and caregivers to ensure files are properly documented and closed.
  • Maintains complete documentation of Workers Compensation files and claims and summarizes activity for regular reporting to the Executive Committee and any outside council for such claims.
  • Supports office operations as needed. Assists the other members of the management team as needed. Completes special projects as assigned.
  • Assists in any audits to provide required information to auditors in a concise and timely manner
