Dollar Bank is hiring for an IT Administrative Specialist. In this role, you will provide varied, high-level support to the Chief Information Officer & the information technology leadership team to ensure the smooth day-to-day operations of the department. You will independently address administrative tasks or collaborate with other team members as needed on special projects or assignments. You must be capable of working independently with limited guidance, possess analytical skills, and be able to handle sensitive matters with the utmost discretion and confidentiality. Flexibility and a willingness to assist others in overflow workload situations are key elements in the successful performance of this job.
Principal Activities and Duties:
*Scheduling and Coordination: Manage calendars, plan, prioritize and schedule meetings, appointments, and travel itineraries/reservations for IT leadership and other management.
*Office Management: General clerical tasks, maintaining office equipment and supplies, as well as managing invoices, expenses, payments, and department budgets.
*Financial Management: Assist with budget preparation, requisitions, expense tracking, invoice coding/processing, and variance analysis.
*Documentation: Compose and/or prepare correspondence, memoranda, presentation materials, promotional materials, forms, newsletters, manuals, and reports using applicable word/spreadsheet tools. Includes typing, formatting, proofreading, and content creation.
*Data Management: Enter, update, and retrieve information from databases or filing systems. Collect, compile, and analyze moderately complex data and information for oversight, reports and presentations (e.g., IT operational metrics, time-tracking/forecasting, talent acquisition/attrition, etc.).
*Support for Special Projects: Assist with special projects or events, such as coordinating a company event, assisting with a major initiative, or supporting a departmental project.
*Communication: Serve as a point of contact for the IT department or office, which may include representing department managers or other senior-level officers in meetings, taking notes, publishing minutes and recordings. Answering phone calls, taking messages, responding to emails, greeting visitors.
*Collaboration: Work collaboratively with other functional areas to respond to or initiate inquiries regarding purchasing, personnel, facilities, administration, specialized programs, etc.
*Other Duties: Perform other administrative duties as required to support the mission and function of the IT department.
Qualifications:
*Five (5) years administrative experience including handling confidential data required. Banking or technology experience a plus.
*High school diploma/GED. College degree preferred.
*Ability to work well with people using tact and diplomacy.
*Proficiency with the Microsoft Office Suite, including Word, PowerPoint, and Excel (Candidate will be tested in Word and Excel).
*Proven ability to independently prioritize and effectively manage workload to meet deadlines.
*A demonstrated ability to analyze problems, propose solutions and maintain accuracy.
*Excellent written and oral communications skills.
*Highly organized and capable of creating processes/procedures to drive efficiency/improvement.
*Confidentiality, ability to manage sensitive information in a prudent manner.
