Summary

The Engineering Administrative Assistant provides administrative support for our Geotechnical Engineering Team. This position is responsible for document and spreadsheet preparation, handling correspondence and phone calls, and performing research.

Responsibilities and Duties

  • Preparation of technical reports; this includes typing, editing, and distributing engineering reports and specialized testing / examination reports.
  • Proofread, peer review, and edit technical reports for formatting, quality control, and accuracy.
  • Edit PDF documents with Foxit or similar PDF writer software.
  • Preparation of spreadsheets with appropriate formatting.
  • Create and maintain new client / project databases and field folders.
  • Input data and scan, upload and save all plans, specifications and drawings by client / project into E-Reporting System.
  • Create, maintain, and update hard copies of project folders, job folders and field folders with appropriate documentation.
  • Perform occasional receptionist duties including telephone screening and distribution, responding to and directing visitors, opening and distributing mail, electronic and manual filing.
  • Provide clientele exceptional, personable service, and communicate with clients via email and telephone to collect project details, as per engineer’s request.
  • Maintain confidentiality of sensitive information.

Qualifications and Skills

  • Must possess a high school diploma; associate or bachelor’s degree is preferred.
  • Minimum of 2 years’ experience performing administrative responsibilities.
  • High degree of proficiency in Microsoft Office programs, including Word, Excel and Outlook. Word - required skills include using functions such as footnote, auto search and replace, header and footer, page break, section break, table of contents, captions, tables, borders, insert objects and figures, page setup, and printing. Excel – required skills include using functions such as header and footer, page break, tables, borders, formatting cells, basic math equations, link cells, multiple worksheets tabs, group printing, page setup, and margins.
  • Experience with PDF writer software (Foxit or similar).
  • Possess strong interpersonal skills and demonstrated professionalism with verbal and written communications.
  • Ability to effectively proofread documents for spelling and grammar.
