As an Office Coordinator, you will work closely with the San Diego based team, including Senior Management to ensure the smooth running of the office and corporate apartment. The Office Coordinator will be the first point of contact for all employees visiting the office from around the world. 

Location: San Diego - on site

What You Will Do: 

Office Management

  • Covid-19 Office Rules & Regulations (attestation form)
    • Send out and keep log
  • Point of contact for Balboa Plaza Office Management
    • Report cleaning and maintenance issues
    • Arrange additional cleaning as and when needed
  • Stock take & ordering of snacks & supplies (via Costco/Amazon)
  • Register new SD employee's key fobs/grant access
  • Maintain car/garage log
  • Handling incoming post with due regard to time sensitivity and confidentiality 
  • Maintaining mail log - scanning, categorizing & distributing incoming mail
  • Monitor San Diego slack channel, respond to queries
  • IT & Facilities support, on-site contact
    • Internet
    • Printers
    • SDGE issues
    • Furniture
  • Manage security system (Bay Alarm)
    • PoC / liaison / arrange service calls
    • Battery issues
    • To be added to the Bay alarm system and receive notifications for police reports / false alarm
  • Support Events Team with packing/shipping
  • Ad hoc shipping arrangements (using FedEx corporate account) - supporting Sales, Customer Success, and Marketing teams
  • Provide on-site assistance during events (e.g. arrange furniture hire, additional cleaning, guest liaison, oversee AV contractors if needed for larger events)
  • Coordinate lunch orders for larger meetings
  • Ensure furniture and appliances are in good working order, and run maintenance programs on appliances as appropriate (fridge, water filter, coffee machines, beer tap, dishwasher)
  • Ensuring health & safety and fire safety rules are adhered to 
  • Support Finance / Executive Assistants with coordinating wet signatures and/or notary appointments as and when required

Corporate Apartment

  • Schedule apartment cleanings (occasionally let cleaners in when guests leave early)
  • Oversee reservation site for arrivals and cancellations
  • Actively manage guest reservations, reach out to guests prior to arrival to reconfirm bookings, arrival and departure times
  • Point of contact for Guests, HOA, and Contractors
  • Stay on top of maintenance - lightbulbs, making sure there are enough towels, linen, etc. 
  • Make sure any damages are addressed, damaged items are replaced
  • Replenish apartment with basic supplies (toilet paper, paper towel, dishwasher tablet, etc)
  • Exit survey - follow up on any issues

This role will be a visible team member and need to be comfortable being responsible for building and maintaining a great culture in a distributed and diverse remote environment at Cloudbeds. The right individual for this role will have the dedication to push things forward throughout the organization while anticipating needs, troubleshooting issues, and responding proactively and calmly under pressure. You’ll Succeed With:

  • 2 years experience in a similar role
  • Ability to work autonomously, self-starter
  • Problem-solving skills
  • Experience with remote teams preferred
  • Flexibility to work miscellaneous hours on an ad-hoc basis
  • Flexibility to visit multiple locations (mileage will be reimbursed)
  • Must have ‘mop bucket attitude’
  • Ability to work through and troubleshoot issues that arise with a solution-oriented mentality
  • Attention to detail and ability to multitask with time sensitivity
  • A collaborative approach to problem-solving
  • Excellent written and communication skills, English fluency
  • A second language is advantageous
  • Experience in Google Suite preferred 
  • Experience with Expensify is a plus
