Job Description


We seek a full-time Client Concierge to provide excellent client service to Firm guests and staff, via phone, email and in-person. Successful candidates will understand the value of creating a positive and professional experience in any environment for both Cleary Gottlieb staff and their guests.


  • Create, format and edit, documents in Word, Excel and PowerPoint; prepare faxes and PDFs as needed
  • Greet and assist Firm clients and guests in a prompt and professional manner, providing necessary information, directing to appropriate destination and ensuring a top tier guest experience
  • Answer calls to the office main line or individual reception desk phone in a professional manner and forward calls as appropriate
  • Anticipate client or guest needs in order to accommodate them and provide an exceptional experience
  • Manage conference room reservation requests, confirming technical and presentation needs, furniture arrangement and catering requirements
  • Proactively confirm next day and following week reservations are complete and accurate and communicate to all stakeholders
  • Maintain readiness of meeting rooms, liaising with IT and catering departments to ensure all other relevant equipment/catering are set up before the commencement of each meeting
  • Arrange for building access for all Cleary clients or guests
  • Inform client or guest of Wi-Fi services
  • Manage loaner key inventory, issuance and follow up on outstanding keys
  • Ownership of Visiting Attorney requests
  • Handle requests for assistance, information and general inquiries promptly and courteously
  • Responsible for mailing, shipping, delivering packages within the office and coordinating courier services
  • Handle office food deliveries
  • May be asked to perform personal tasks (not limited to printing, filling out applications, billing, etc.)
  • Assist Office Manager with ad hoc projects
  • Execute sanitation protocols (COVID)
  • Position is considered essential staff and will be required to come into the office full-time (not remote work eligible)
  • Ability to physically work in each of the Northern California offices (Silicon Valley and San Francisco), although San Francisco will be designated as the “home base office” for this role


  • 2 years of guest services experience in a legal or professional services environment
  • Experience handling matters of a confidential and sensitive nature
  • Exhibits a strong attention to detail and ability to thoroughly complete tasks with minimal direction
  • Demonstrates a strong work ethic and “can-do” attitude
  • Is flexible and adaptable to changing priorities
  • Strong organizational skills and the ability to manage your time well, prioritize effectively, and handle multiple deadlines
  • Well developed and professional interpersonal and communications skills; ability to interact effectively with people at all organizational levels of the Firm
  • Excellent computer, data entry and technical skills (e.g. Microsoft Office suite, including Word, Outlook and Excel)
  • Knowledge of basic office equipment, including printers, scanners, copiers, etc.
  • Availability to work flexible hours, overtime and weekends as needed
  • Ability to lift 20lbs
  • Ability to work in a high demand work environment while ensuring accuracy
