What are the responsibilities and job description for the Office Administrator position at Clear Outlook?
We are looking for an office person for a small well established exterior cleaning company. Non-conventional office setting. Position includes client and crew communication, scheduling appointments, work orders, and general administrative support to our employees and owner. Bookkeeping experience is a plus. Be proficient with QuickBooks and common office programs. Ultimately be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
This is primarily a cell phone and internet based business and only requires a few hours of in person office time two or three days a week. Be available to answer and return calls and messages as needed throughout the work day as needed, 8-4.
Hours are semi-flexible and can fit a parent's with young children's schedule
Higher pay for bookkeeping/accounting experience
Responsibilities
- Serve as the point person for: mailing, supplies, equipment, bills, post office, banking. Weekly
- Schedule appointments, jobs, and work orders. Daily
- Maintain organization and cleanliness of the office and daily procedures
- Manage and follow up estimates, invoices, A/R, regular scheduling, etc
- Point of contact for employee needs
- Run day to day affairs
Skills
- Administrative experience, excellent client contact
- Proficiency in Quickbooks, familiarity with MS Office and general office programs
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Manage social media
