Position Summary

Responsible to Clarion Hospital for supporting the corporate mission, vision and values. Responsible to the Patient Access Department for the accurate and efficient scheduling of outpatient services for patients. Responsible to the customer (patients, physicians, staff and others) for courteous, accurate and timely service.

Essential Functions

Service Excellence: Demonstrates CUSTOMER FIRST attitude in all Patient Access/ Central Scheduling activities. Responds to patients, physicians, hospital staff and other customers (internal and external) in a professional manner. Tact is required in all customer contacts and the employee assumes responsibility for harmonious relationships. Treats everyone with dignity and respect.

Scheduling: Demonstrates knowledge of the phone system and computer software used in the Scheduling Department. Conducts interview with the caller (patient or physician office) and enters accurate data into the hospital’s scheduling system to schedule the tests or procedures and to pre-register the patient.

Provides necessary instruction/education to patients regarding diagnostic tests including prep instructions and directions to the hospital or department.

Performs medical necessity validation when applicable.

Scans/copies patient documents for inclusion in the patient record.

Requests pertinent documentation, i.e. Lab results, orders and etc., from physicians based on the test or treatment ordered. Initiates appropriate action for missing, incomplete and/or unreadable orders.

Third Party Payers: Keeps abreast of and is able to communicate insurance requirements including required referrals and pre-authorizations. Ensures accurate reimbursement by verifying third party eligibility through the use of web-based, on-line and SCI Solutions eligibility checking systems. Calls the patient or physician office when information is missing or incomplete.

Privacy Practices: Understands and is able to communicate Clarion Hospital privacy practices to patients. Makes notices available (by mail) to patients. Adheres to the strictest level of confidentiality in all aspects of performance. Demonstrates requirements of HIPAA regulations within the scope of job responsibilities.

Demonstrates ability to maintain Patient Access Department and Clarion Hospital quality accuracy and productivity requirements. Understands the impact of scheduling, registration and billing activities. Performs volume of work expected. Keeps work area clean and organized.

Resourcefulness: Must have the ability to make sound judgments in a variety of situations, and function will in stressful situations.

Maintains scheduling system software database.

Flexibility and willingness to cooperate in departmental scheduling needs.

Agrees to comply with the Corporate Compliance Policy and all laws, rules, regulations, and standards of conduct relating to the position and has a duty to report any suspected violations of the law or the standards of conduct to his or her immediate supervisor, the Compliance Officer, or the Chief Executive Officer.

Qualifications

  • High School Diploma or equivalent required; Associate degree in Allied Health or related field from a college, technical or business school preferred.
  • A broad knowledge of medical terminology required.
  • Two years of healthcare experience in the areas of scheduling, patient financial services (registration, business office) or medical office is required.
  • Ability to read, spell, file, follow simple verbal or written instructions and write legibly are required. Strong typing/computer skills.
  • PC software application knowledge and the ability to use multiple data systems are required.
  • Strong organizational skills.
  • Excellent communication skills.

  • Education, Knowledge, Skills and Abilities:

High School Diploma or equivalent required; Associate degree in Allied Health or related field from a college, technical or business school preferred. A broad knowledge of medical terminology required. Two years of healthcare experience in the areas of scheduling, patient financial services (registration, business office), customer service or medical office is required. One year experience as a Scheduling Specialist I or equivalent. Ability to read, spell, file, follow simple verbal or written instructions and write legibly are required. Keyboarding skills required (40 WPM). PC software application knowledge and the ability to use multiple data systems are required. Knowledge of ICD-10 and CPT codes is required.

Working Conditions:

The job requires repetitive or frequent exercise of moderate motor ability such as operating a personal computer, adding machine, multi-line telephone, copy machine or fax machine. Employee sits most of the time, but may walk or stand occasionally for brief periods. Occasional bending or reaching forward. Enters keyboard data most of the time. Knowledge of proper body mechanics is essential. Works regularly under desirable conditions with little or no disagreeable features. Illumination and ventilation are good and distractions are at a minimum.
