JOB SUMMARY

As the first point of contact, the Office Coordinator will represent CityTeam in person, over
the phone, and via email. This position handles multiple administrative tasks with accuracy
while maintaining the highest level of confidentiality and customer service. Due to the
nature of this role, the Office Coordinator must be able to complete projects and tasks in a
timely and accurate manner while tactfully managing constant interruptions. To be
successful, the Office Coordinator must have the technical and soft skills necessary to
complete projects, solve problems, answer questions, direct calls, and build positive
working relationships. Our ministry is often unpredictable, so we are looking for someone
who can pivot quickly and deal with surprises and unexpected twists with grace. Our ideal
candidate will be organized and detail-oriented, have strong written and verbal
communication skills, and the ability to handle conflict in a Christ-like manner.
The Office Coordinator is a temporary, part time up to 30 hours, non-exempt position
wrapped up in a Christian environment that values Teamwork, Accountability, Humility,
Innovation, and Joy.
ESSENTIAL FUNCTIONS
1. Welcome guests, answer questions, receive packages, and assist as needed at the
front desk.
2. Answer, screen, and route calls and emails to the appropriate people, departments,
and programs.
3. Provide information about CityTeam’s programs and services to the public.
4. Provide administrative assistance to HR as needed including but not limited to:
posting openings on job boards, scheduling and coordinating interviews, processing
background checks, employment verifications, new hire/term IT tickets, ordering
business cards, name plates, etc.
5. Update CityTeam’s organizational chart and phone lists as needed.
6. Special event planning, coordination, and execution.
7. Track, process, and prepare annual employee service awards.
8. Manage and reserve conference rooms for staff.
9. Collaborate with various managers to update CityTeam’s Event Calendar.
10. Maintain and order office and kitchen supplies.
11. Provide outstanding customer service to staff and public.
12. Manage President’s generic email account
13. Manage multiple projects and tasks.
14. Other administrative tasks as required.
