POSITION SUMMARY

The Support Coordinator provides administrative support to the Community Recreation Managers as they execute program activities and goals. The Support Coordinator also leads the Program Assistants in the organization and maintenance of the daily operations, and record keeping of year-round, citywide recreation and arts programs. Provides leadership and support in assuring standards and requirements of the program are met. Work is varied and fast moving, requiring prompt analysis and decisions within established procedures. Supervision received includes weekly meetings with the Recreation & Cultural Affairs Director to monitor programs’ compliance with established policies, procedures. Work requires independent judgment, positive attitude, team spirit and personal initiative. The Coordinator is required to work a flexible schedule, which includes mid-day schedule starts, nights, and rotating weekend days. This is driven by the calendar and seasonal events that will vary.

ESSENTIAL JOB FUNCTIONS

  • Leads the Recreation Program Assistants in the organization and maintenance of a variety of records and materials, handles registration documents including cash and credit card transactions using registration software.
  • Assists Recreation Managers in the coordination of all indoor use of designated public school facilities after 4:00 pm and on weekends. Confirms all spaces for classes/activities are properly prepared before program participants arrive.
  • Works with Recreation Managers to assign facility space and prepare agreements.
  • Oversight of registrant use of the program’s technology devices and software. Works collaboratively with the Chelsea Public Library staff to ensure timely distribution & collection of devises.
  • Establishes and maintains communication and cooperative working relationships with community agencies, participants, staff and instructors.
  • Analyzes situations accurately and take effective action to insure a positive experience for all program participants.
  • Prepares related reports as required and and ensures a safe environment by enforcing site use rules and regulations.

· Tasks are generally diversified requiring understanding of different areas of work and situational analysis, good judgment, and making decisions within the established procedures. The person will interact with Chelsea Public School administration and facilities management personnel to assure facilities availability and maintenance.

QUALIFICATIONS:

  • High School diploma required with post-secondary degree preferred.
  • Three to five years’ experience providing administrative support to municipal/community based programs, community arts and recreation events, and other related or similar events and programs.
  • Bilingual capabilities (English/Spanish) preferred.
  • Excellent organizational skills; detailed oriented, ability to handle multiple task simultaneously.
  • Computer literacy skills (MS Office Suite) working effectively with community based programs and handles multiple priorities effectively. Experience with registration software is a significant plus.
