We have an exciting opportunity for a Marketing Coordinator at The Vista. The Marketing Coordinator is responsible for promoting, presenting and supporting the marketing staff in the sales process to prospective residents, family members and the community, and ultimately for the entire move-in coordination of every Vista resident. This role ensures a seamless move-in process for residents including initiating and securing appointments to complete all upgrades and options selection processes prior to move-in and coordination of move-out and move-in for all residents. This position is responsible for various duties, as necessary, for the proper function of the department as well as various duties as may be assigned by the Chief Marketing Officer and The Vista marketing consultants. Primary responsibilities include initiating appointments, providing support, consult, guidance, partnership in selection process, communicating and cultivating relationships with all residents and prospects with full move-in coordination working as a liaison between Vista development team and residents. Successful candidate must be extremely detail-oriented, enjoy and competently and thoughtfully work with senior population, take initiative and work on several software systems, and offer design and move-in consult and expertise. Demonstrates an understanding of, and embraces, the mission statement of Christian Health.

Competencies:

  • Oversees the selection, options/upgrades, and move-in process with all new Vista residents. Calls depositors and arranges appointments for selections of required items and options.
  • Maintains contact with prospects and future residents as necessary through telephone, email and written correspondence, such as confirmation and follow-up letters and handwritten thank you notes and records in the database.
  • Meets with depositors, assists them with their selections, completes the required documentation of the selections, including creating and processing information to others that may require it.
  • Serves as the liaison between the community and future residents prior to move-in. Disseminates information to future residents about the community and their upcoming move. Works alongside every resident to assist with selling, downsizing , moving, and move-in coordination.
  • Assist entire Vista marketing and sales team to support the scheduling and coordination of various marketing and sales initiatives, activities, and events.
  • Assist and support Vista marketing and sales team with event planning and execution.
  • Participate at open houses and various marketing events both on and off-site.
  • Greet guests and prospective residents. Interact with prospective residents, depositors and their families in one-to-one and group situations.
  • Produce regularly scheduled reports from the marketing databases and distributes reports to all appropriate persons.
  • Support the sales team with data input and maintaining the computerized prospect management system.
  • Covers walk-in visitors (prospects and depositors) with and for the sales team as needed.
  • Participates in sales training and learns professional customer service strategies. Understand the minimum sales targets and contributes towards their achievement.
  • Plans move-in activities for new residents on their initial move to the community. Alerts Vista team and coordinates team responsibilities.
  • Assists the marketing /sales staff with and coordinates intra-community transfers.
  • Coordinates the preparation of the residence with other staff. Performs a final inspection to assure it is ready for the new resident. Visits vacated residences and provides weekly updates of status.
  • Prepares and processes all move-in documentation in a timely and professional manner. Maintain the inventory of promotional and contractual materials.
  • Prepare and maintain confidential records pertaining to residents, prospective residents and record of sold/available residences. Administrative duties as necessary for the proper function of the sales office including: initiating and answering telephone calls, as needed, or requested; preparing , copying, processing paperwork, computer records and filing; other office management and support functions.
  • Conduct presentations to prospective residents and depositors as may be requested by the leaders and staff.
  • Interact, as appropriate, with the administration and operations leaders, staff and residents.
  • Work cooperatively with other staff members using a team approach.
  • Practices safety at all times; applies all accident, fire safety or emergency procedures of the community in compliance with the organizations safety policies and procedures.
  • Coordinates with contractors any upgrades/renovations to existing units or at the time of turnover including; scope of work to be done, dates/timeframe, walk through/sign off completion of work in apartment.
  • Notarizes documents.
  • Perform any and all duties reasonably related to marketing and sales development functions, which can neither be foreseen nor specifically defined at the time this position described is accepted.
  • Identify and nurture relationships with prospective residents and referral contacts.

Schedule: Monday - Friday, 9am - 5pm. Evening hours as required. 

Education: Bachelor’s degree required. Interior design degree or interior design experience preferred.

QUALIFICATIONS/REQUIREMENTS

Demonstrates compliance with the CH ASPIRE Standards of Performance.

Qualifications:

  • 1-3 years of professional and successful experience in high-end furnishings or home décor sales/consulting.
  • Previous experience working closely and cultivating relationships with clients over a long period of time required.
  • Must be extremely detail oriented and customer service focused.
  • Proficient in Microsoft Office suite, including Word, Excel, Power Point, Outlook.
  • Database management a must and ability to learn new software required.
