Professional Requirements

Position Summary: The Executive Assistant supports a minimum of two Senior Leadership team members. Demonstrated ability to act as department receptionist and secretary, maintain complete and accurate records, and schedule various appointments. Designs and completes short term projects as directed by the Administrative Manager.

  • Schedules appointments and meetings.
  • Makes arrangements for meetings, conferences, or travel for an individual, group or department. Researches and responds to inquiries and calls, may escalate to other levels of the organization as appropriate.
  • Formats, types, and edits correspondence, documents, memos, reports, meeting minutes and/or presentation materials.
  • Compiles financial and operational data from multiple sources to assist management in preparing and monitoring budget and workforce planning and/or other department reports. May prepare summary of information or data.
  • Distributes and disseminates information within the department.
  • Orders supplies and arranges for equipment maintenance.
  • Submits, monitors and tracks invoices, reimbursements, and supply management. May assist with preparation and submission of expense reports.
  • Establishes and maintains an internal filing system.
  • Maintains calendars, coordinates meetings and special functions
  • Keeps all department information current.
  • Takes minutes at assigned meetings; transcribes notes/minutes and makes them available in a timely manner
  • Demonstrates the ability to order supplies, completes requisitions
  • Puts together data from different sources for special projects and prepares reports.
  • Performs secretarial duties, e.g., typing, correspondence, preparing reports, memorandum, etc.
  • Answers the telephone in a professional manner; directs calls appropriately.
  • Maintains department records, files, policy and procedure manuals, etc. for the assigned EMT member(s)
  • Demonstrates the ability to schedule meetings between departments, directors/managers
  • Other duties as assigned.

Qualifications

Minimum Education:

  • High School Diploma or GED required.

Preferred Education:

  • Associates' and/or Bachelor’s Degree

Minimum Work Experience and Qualifications:

  • Ability to communicate effectively verbally and in writing.
  • Minimum three years of experience as an Executive or Administrative Assistant to executive team members, preferably in a hospital or healthcare setting.

Preferred Work Experience and Qualifications:

  • N/A

Required Licensure, Certification, Registration or Designation:

  • Valid California Driver's License.
  • Hospital Fire Card.
