Certarus Ltd. is Hiring an Office Administrator Near Midland, TX

Summary:

The Office Administrator provides a high level of support to all departments and ensures that the Midland, Texas office functions efficiently on a daily basis. This position will appeal to a self-motivated individual who enjoys juggling a variety of tasks and would like to play an integral role in the growth of our company. The position is based in the Midland, TX office.

Schedule:

  • This position holds normal business hours, with little to no travel expected

 

Duties & Responsibilities:

  • Greet guests and manage calls
  • Provide support to the operations team
  • Support the planning and coordination of corporate meetings and events
  • Act as facilities liaison to coordinate building requests, access cards and schedule any maintenance
  • Process and distribute incoming mail and courier packages sent out, both domestic and international deliveries
  • Coordinate IT equipment for new and existing employees including the set up and management of office and mobile phones as well as computer hardware requests
  • Maintain office services, including managing office and kitchen supplies inventory and ensuring office equipment is operational
  • Assist with invoicing, purchase orders, and the processing of expense reports
  • Initiate new office procedures and continuous improvement of business processes as required and serving as a key contact point for employees and suppliers
  • Create and update existing print and online directories
  • Maintain and update the MSA (master client list)
  • Order and track PPE purchases for new and existing employees
  • Assist with coordination of temporary housing accommodations and flights for new and existing employees
  • Assist other departments with projects as required

Requirements:

  • University degree or college diploma, Business Administration or Administrative Office Assistant preferred, with 3-5 years of dynamic administrative experience
  • Advanced skills in MS Outlook, Excel, Word and PowerPoint
  • Welcoming, positive “can-do” attitude
  • Excellent communication skills both verbally and in writing
  • Self-starter with the ability to work without immediate day-to-day supervision
  • Ability to multi-task a variety of projects under pressure and tight deadlines
  • Demonstrates strong attention to detail
