PRIMARY OBJECTIVES
This position performs duties related to assisting in case transfers and maintenance of client records. May also include other related clerical duties.

ESSENTIAL FUNCTIONS, WORKING CONDITIONS, PHYSICAL REQUIREMENTS
  • Essential Functions: Electronic data entry. Use of computers and calculators. Record-keeping and the ability to accurately sort and file large quantities of information in client’s charts requiring a high level of accuracy and attention to detail.
  • Working Conditions: Professional office environment.
  • Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Manual dexterity for typing on a computer keyboard. Sitting and standing for extended periods of time. Walking, stooping, lifting, reaching overhead and horizontal, carrying files, records and supplies to work areas. Considerable use of vision for sorting and scanning correspondence, reports, and other case related paperwork into client files.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Responsible for the transferring and reviewing process of all outgoing cases to other regional centers and ensuring all necessary information and paperwork is gathered, correct and updated properly before processing transfers.
  • Responsible for separating and filing all incoming case files into CVRC’s system in an accurate and timely manner working closely with the Transfer Specialist.
  • Acts as CVRC liaison with other regional centers throughout the state to assist in the timely transfer of case records of those served.
  • Reviews various components of the outgoing cases to determine if the Director or Assistant Director need to review/approve prior to transferring case.
  • Upon receipt of acceptance notification from the receiving regional center, accurately notifies all necessary CVRC departments to ensure all factors of clients’ case are closed properly.
  • Maintains a spreadsheet of individual transfer records and provides status reports upon request to the Director or Assistant Director.
  • Responsible for scanning and importing documents from other CVRC departments by hard copy, email, and CD’s as well as assisting these departments with other inquiries that may come up.
  • As time permits, assist the Administrative Manager with organizing various documents as needed.
  • Performs other duties as assigned.
  • Responds to and assures quality of agency services. Keeps designated supervisor informed of service delivery, emerging and urgent issues.
  • Develops, when appropriate and under direction of designated supervisor, forms, practice tools and resources that support staff in their daily functions.
  • Completes all forms, reports, and types of documentation according to agency standards and directs paperwork to appropriate service and administrative units in a timely manner.
  • Maintains respectful and clear communication with supervisor. Accepts guidance, constructive advice and supervision. Seeks clarification or support, as needed.
  • Participates in education and training as assigned.

  • Provides quality customer service and communicates with others effectively and respectfully in person, on the phone, by e-mail and in writing.
  • Maintains good attendance and punctuality. Keeps assigned supervisor apprised of whereabouts.
  • Complies with and enforces client privacy and confidentiality laws. Ensures that clients’ rights and dignity are maintained in the provision of services.
  • Ensures that the rights of staff are respected and maintained.
  • Complies with and enforces agency policies, procedures, and Equal Employment Opportunity regulations.
  • Maintains grooming, dress and hygiene that conveys clean, neat, businesslike appearance.
  • Keeps equipment and work area clean, neat and orderly.
  • Demonstrates flexibility in responding to organizational needs.
POSITION REQUIREMENTS:
High school diploma or AA and 1 year in related field. Ability to follow oral and written instructions. Ability to spell and punctuate accurately. Ability to operate office equipment. Knowledge of office methods, procedures, and practices. Ability to multi-task, prioritize, organize, and coordinate workload to meet deadlines including the ability to arrange items in alphabetical and numerical order with accuracy and timeliness. Ability to work in a detailed, organized manner. Ability to use various computer applications, including, but not limited to word processing and e-mail.
