Job Description

General Description

Reporting to the Chief Development Officer (CDO), the Grants Administrator will be responsible for the pre- and post-award related tasks, projects and timelines associated with the submission and administration of grants to support Catholic Charities Family and Community Services agency-wide initiatives. You will be in a very highly collaborative role involving CCFCS’ program leaders.

The Grants Administrator will work in conjunction with program teams to identify relevant funding opportunities aligned with agency mission, vision and strategic plan. This position will be responsible for preparation and maintenance of grant proposal administrative documents including budget drafting, preparing all post-award reporting, including progress and final reports. The Grants Administrator will be responsible for submitting all proposals and related reports, tracking and monitoring the awards, actively coordinating proposal submission process and ensuring all grant submissions meet internal and external requirements.

Essential Duties and Responsibilities

  • Manages grant writing and proactively researches and identifies new funding opportunities for the agency, for targeted programs and other opportunities as identified
  • In conjunction with program leaders, develops appropriate applications to support agency strategic goals and objectives.
  • Responsible for prospecting research for grants and program RFP’s and partner with program leaders to identify program models, outcomes and follow-up. Make appropriate applications.
  • Serves as project manager and primary writer of grant applications
  • Work with program leaders, IT, program staff and Compliance department to implement process to collect data to submit additional reports in support of pending grant applications or those awarded.
  • Represents agency on community boards, networks and associations to cultivate community partnerships and opportunities
  • Track follow through with ongoing correspondence and reports as required to meet funders’ expectations.
  • Partner with Finance to track use of grant dollars and to ensure grant dollars are placed in the appropriate cost centers/utilized in the timeframe specified by grant.
  • Develops, implements, and maintains grant and funding tracking system.
  • Develops, implements, and maintains document management system for agency documents relevant to grant and funding proposals
  • Serves as lead administrator for electronic systems for grant, funding and/or reporting submissions
  • Serves as a member of the development team and coordinates program and service opportunities
  • Maintain a high-level of confidentiality when working with sensitive donor, client, or staff information
  • Participates in relevant Agency meetings and/or trainings
  • Assist and support other Agency initiatives as directed by CDO.
  • Actively pursues development of professional competencies related to job role performance through reading, supervision, in-service training and attendance at conferences and workshops
  • Awareness and active support of the Agency's Mission, Vision, Values and Strategic Plan. Including, but not limited to, supporting the Agency's Core Competency initiatives of being Collaborative and Community Focused, Innovative and Entrepreneurial, and Culturally Competent and Diverse
  • Other duties as assigned

Job Qualifications


Education: Bachelor’s Degree is preferred. Equivalent combination of education and experience will be considered.

Credentials: Valid & Clean NYS Driver License

Experience: Experience with writing and preparing grant proposal required.

  • Proficiency in Microsoft Office Suite
  • Experience working in databases
  • Successful writing and editing experience.
  • Project management experience with a process-driven attention for detail.
