Job Summary

This position is responsible to assist in the implementation of family services, parent education, and supervision of support staff in the Child and Family Center.

Job Duties/Responsibilities

To perform this job successfully, an individual must be able to satisfactorily perform each of the essential duties/responsibilities listed below. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties/responsibilities of this job.

  1. Responsible for providing customer service including answering and responding to telephone contacts, assisting prospective customers, providing family and volunteer tours and orientations, processing enrollment, processing billing information, maintaining the waiting list, and transitioning of children to different age groups/classrooms.
  2. Ensure visitors and perspective staff members to St. Anne’s are welcomed, ensuring proper security precautions are met.
  3. Greeting and providing general information and assistance to the public, staff, volunteers, service recipients, visitors, families, and children
  4. Manage systems for tracking payments and subsidies including, Working Connections Child Care; Child and Adult Food Program; and private pay clients.
  5. Assist in compiling statistical information regarding enrollment and provide requested reports.
  6. Responsible for the inclusion of families in the program including planning and implementation of family events and parent education, processing of parent satisfaction surveys, and providing administrative support to the St. Anne’s Groups and CQI Team.
  7. Responsible for providing ongoing communication and correspondence with families, promotional flyers for family events, and parent education.
  8. Have knowledge of and adhere to all Minimum Licensing Requirements for Early Learning and Washington State Early Achievers Standards.
  9. Coordinates logistics and provides oversight of individual and groups of volunteers.
  10. Maintain a clean and sanitary and aesthetically pleasing reception area.
  11. Assist with direct work in the classroom as necessary.
  12. Provide administrative support to the Director, Assistant Director, and Program Coordinators including assist in hiring and training process to provide quality staffing.
  13. Uses appropriate administrative, fiscal, physical, and technical safeguards to ensure the confidentiality, integrity, and security of CCEW client protected health information (PHI), per regulations outlined in the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
  14. Will regularly utilize and must be proficient in all forms of communication (email, text, phone, etc.) technology and database applications necessary for this position and as directed by supervisor.
  15. As a mandated reporter, follows all procedures outlined in agency policies and procedures to report to the proper agency when there is suspicion and/or confirmation that a child or adult has been a victim of abuse or neglect
  16. Adheres to the tenets of Catholic Social Teaching and Catholic Doctrine.
  17. Performs as a team member to assure that productivity outcome measures are achieved.
  18. Other duties as assigned by Program Director/Assistant Director/Program Coordinator.
  19. Performs related functions necessary to support the mission and core values of Catholic Charities.
Job Qualifications
 

To perform this job successfully, an individual must meet the minimum qualifications listed below. These qualifications are representative of the knowledge, skill and/or ability required to perform this job.

Education/Experience:To perform this job successfully, an individual must have A.A.S. Degree in Communication, Business, Education, Human Services, or related field. Bachelor’s Degree in liberal arts, education, business communication, or social services preferred; or an equivalent combination of education and experience. Minimum of two or more years work experience as providing family or customer services. Knowledge of community resources and the ability to successfully provide appropriate referrals.

Certificates/Licenses To perform this job successfully, an individual must have the ability to successfully pass a Department of Children Youth and Families (DCYF) background check, register in MERIT system and complete STARS 30-hour training program. Preference given to certified STARS trainer. Blood Borne Pathogen training, First Aid, CPR and all other DCYF mandatory trainings are required.

Physical Abilities: To perform this job successfully, an individual must be able to:

  • Regularly sit, stand, climb, walk, hear/listen, talk
  • Frequentlylift up to 30 pounds, pull/push, carry, grasp, reach
  • Occasionally crawl, stoop, kneel
  • Clearly see 20 feet, with or without corrective lenses, ability to focus
  • Musttest complete a tuberculosis
  • Must be 18 years of age
  • Proof of COVID-19 vaccination upon hire

  • Mathematical Ability:ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Motor Coordination: the ability to coordinate eyes, hands, fingers, and feet accurately and handle precise movements.
  • Problem Solving Ability: ability to identify and/or prevent problems before they occur; ability to formulate alternative solutions to problems when necessary; ability to transfer learning from past experiences to new experiences of similar nature.
  • Quality Management: ability to complete duties, on time and with absolute precision, at least 95% of the time; ability to edit the accuracy and thoroughness of one’s work as well as the work of others; ability to constructively apply feedback to improve performance, ability to generate ideas to improve and promote quality in work
  • Reasoning Ability: ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; ability to deal with problems involving several concrete variables in standardized situations.
 

Workplace Environmental Conditions

While performing the essential duties/responsibilities of this job, the employee will be:

  • Noise Conditions: exposed during a shift to constant or intermittent sounds at quiet to moderate levels of sound dependent upon the activities of the Center
