Castle Group is Hiring a Benefits Manager Near Plantation, FL

Overview

The Compensation & Benefits Manager will manage the overall administration of the company’s total rewards programs including base compensation, 401(k), health and welfare plans, and worker’s compensation. They will provide solid analytical, technical, administrative and customer service support company-wide to ensure accurate processing, timely crisis resolution, sustainable practices and regulatory compliance within our compensation & benefit programs. This position will work closely with internal business partners across the organization to continually enhance and improve Castle Groups total rewards offering for employees and their families, while ensuring programs remain innovative, competitive, financially sustainable, and aligned with our strategic business objectives. 

Responsibilities

Analysis/Auditing 

  • Conduct market benchmarking, job analysis, and prepare job descriptions; determine FLSA classification and appropriate job grade for positions; conduct audits and analysis on positions as needed 
  • Proactively provide compensation and benefits consultation to the business on relevant topics including market competitiveness, total compensation/benchmarking studies, market trends and best practices, and legislative, tax and social changes that impact current programs 
  • Support the analysis of due diligence information throughout the acquisition process, if required 
  • Conduct regular gap-to-market assessments of total rewards positioning relative to the competitive market and lead annual processes including but not limited to compensation surveys and pay for performance 
  • Own the costing analysis for annual company spend in compensation and benefit enhancements 
  • Provide ad hoc analysis, reporting, and audit support 
  • Conduct ad hoc competitive assessments/internal equity analysis of employee pay levels and make recommendations for pay adjustments 

Program Management 

  • Manage development of compensation, benefit, and recognition program documents and communications. Conduct training presentations on programs, as needed 
  • Lead the development and implementation of substantial Total Rewards projects, including the deployment of a company-wide job and pay framework, recognition strategy, and total compensation philosophy 
  • Develop and document procedures to streamline processes, automate workflows and business rules, and ensure compliance with regulatory requirements and educate managers on those procedures and requirements 
  • Analyze and review benefit programs and recommend changes in design, pricing, vendors as necessary to ensure programs are efficient, market competitive, compliant with regulatory requirements and aligned to strategic objectives 
  • Address and resolve associate escalations and questions by interpreting benefit policies and procedures 
  • Develop procedures and processes to ensure consistent and equitable administration of compensation and benefit plans and recommend changes to program designs as needed 
  • Oversee program management of 401(k) plan 
  • Assure workers’ compensation program quality and operational consistency through regular and ongoing implementation and reinforcement of standards and controls, systems and policies, and regular evaluation. 

Compliance 

  • Ensure the company is compliant with federal and state laws. Conduct audits as needed 
  • Stay abreast of the latest developments in the field of compensation management and maintain knowledge of Fair Labor Standards Act, state regulations, and Equal Pay Act related to compensation to ensure compliance 
  • Maintain compliance with minimum wage requirements 
  • Maintain benefit plan and program compliance, including assistance with annual non-discrimination testing, plan audits and government filings, plan documents in accordance with the DOL, ACA, ERISA, and HIPAA requirements 
  • Oversee, review, provide guidance and monitor worker’s compensation claims activities in accordance statutory and regulatory requirements as well as internal policy and procedure, to ensure appropriate, merit-based judgments, decisions and determinations in the adjudication of claims. 

Administration 

  • Lead annual merit planning cycle, including providing systems testing/support; developing timeline and planning materials; and developing and delivering communications 
  • Lead annual open enrollment processes, including communications strategy development and testing of the open enrollment system 
  • Work with the HRIS to develop tools to enhance the ability to deploy programs efficiently 
  • Develop and monitor Standard Operating Procedures to ensure accuracy, efficiency and appropriate audit controls. Reconcile issues, invoicing and audit payroll and benefits systems for accuracy. 
  • Oversee the development of informative materials from benefits vendors and partners, ensuring updates to plan design and compliance are reflected in such collateral literature. Create, maintain and distribute teammate communications, documents, and templates such as enrollment forms, rate tables, benefit overview, training materials, etc. 
  • Oversee, administer, and track all employee disability and FMLA claims and information. Assist with streamlining/administering employee time away and leave processing and partnering with payroll and the Human Resource Business Partner function as necessary.
  • Oversee, administer, and track all Worker’s Compensation claims and information. Serve as escalation for litigated claims while working directly with outside counsel, carrier and broker to resolve claims. 
  • Develop and analyze benefits key performance indicators (KPI) like plan participation and utilization for benefits programs monthly, quarterly and on an annual basis. 
  • Develop, administer and evaluate wellness and healthcare educational programs to promote healthy lifestyles and changes in health care utilization and compliance. 
  • Provide general oversight, direction and management of workers’ compensation claims and claim activities, including investigation, financial management (medical management, litigation management, statutory and regulatory compliance as well as administrative processes. 
  • Conduct routine claims reviews (recurring, targeted, and random sample) in accordance with policy and procedure. 
  • Oversee the integration and enrollment of benefit programs of new accounts. 
  • Other related job duties as assigned 

Qualifications

    • Human Resources experience with a concentration in compensation and benefits administration. 
    • Knowledge of current federal and state labor and benefit laws and regulations including ADA, ADEA, COBRA, EEOC, ERISA, FLSA, FMLA, Health Care Reform Act, HIPPA, OSHA, Pension Protection Act, Title 7, USERRA.
    • Experience implementing new benefit programs and managing major benefit changes. 
    • Broad knowledge of all aspects of workers’ compensation claims management to include medical management, financial management, e.g., reserving, settlements, recoveries, etc., litigation management, administrative management, statutory and regulatory compliance. 
    • Strong computer skills including Microsoft Office suite with excellent Excel skills, experience with HRIS systems. 
    • Excellent oral and written communication skills and the ability to communicate with management staff. Proven ability to lead teams and influence outcomes. 
    • Demonstrated numerical aptitude, knowledge of business finance, and prior labor/benefits budgeting experience 
    • Strong project management skills with demonstrated implementation and change management experience 
    • Professional certification in employee benefits administration is strongly preferred 
    • Professional certification in Human Resources is strongly preferred 
    • Ability to perform with considerable independence and initiative. 
    • Capability to communicate effectively and professionally with a diverse population in English both written and orally. Bilingual in Spanish is strongly preferred. Creole a plus. 

Required Education and Experience

  • Bachelor’s degree in Human Resources, Business or related field. Master’s degree preferred.
  • 5 years' experience in Benefits Management, with significant understanding of IRS Section 125 regulations, COBRA, FMLA, HIPAA, and FLSA regulations, including at least two (2) at a managerial level.
  • 5 years’ experience in HRIS, with significant understanding of system module connectivity, integrations and data feed transfers. Application and working knowledge of UltiPro HRIS.
  • Strong knowledge and understanding of benefit plan administration including wellness, leave administration, time away, global pensions and US 401(k) plan support.
  • Management skills and strong business acumen, including problem solving, ability to manage multiple programs and meet deadlines, collaboration, leadership, decision making and ability to analyze diverse facts and develop clear and concise reports and recommendations.
  • Excellent organizational/multitasking skills with acute attention to detail.
  • Must possess a mindset of continuous improvement identify, recommend and improve current processes
  • Excellent time management, customer service, attention to detail and organizational skills.
  • Have excellent written and oral communication skills and strong interpersonal skills to be able to interact with all levels of organization, including professionals, senior management, part-time employees and volunteers, including the ability to influence technology and functional leaders through business case demonstration.

Position Type/Expected Hours of Work

This is a full-time position, and hours of work and days depend on the nature and location of the assignment.

Travel
