Carroll Motor Fuels is seeking a Dispatcher who will be responsible for coordinating the distribution & daily delivery planning of petroleum products for 40 units. When necessary, the Dispatcher will make decisions regarding emergency customer service calls for product delivery and act as an informational resource for the delivery drivers. Responsibilities:

  • Local Planning & Dispatch:
  • Prepare the daily workload for each scheduled driver while monitoring their available hours of service and taking into account logistical requirements within the parameters of the DOT.
  • Routing trucks to include using mapping programs, route each truck to assure the best route for delivery, place each movement in sequence to meet required time stops, manage the selection process for same day deliveries, entering expected time frames into internal systems for each drivers’ delivery.
  • Prepare new loading sources for the delivery drivers when product prices change. Distributes corrected loading sources to the drivers and all branch locations to ensure proper customer billing.
  • Driver Assistance:
  • Help resolve product delivery issues & problems encountered by the drivers (i.e.: giving driving directions and/or fill location information, etc.).
  • Daily dispatch drivers to the customer’s location. Authorize & inform the driver how to properly respond to or handle the customer if problems occur.
  • Receive incoming paperwork from the transport & straight truck drivers daily. Review paperwork for accuracy and completion.
  • Customer Focus:
  • Responsible for incorporating any or all special delivery requests into the daily driver work assignments. Determines level of importance for special orders.
  • Responsible for determining the priority levels for emergency product deliveries.
  • Accountable for finishing any remaining work not completed on the prior shift.
  • Answer incoming customer service calls after regular business hours or when required by call volume.
  • During emergency situations (extreme cold & weather conditions) strives to maintain customer service levels May be required to make product deliveries.
  • Communications & Teamwork:
  • Establish cohesive working relationship with the all staff members and actively communicate any operational issues encountered during the shift with transport management.
  • Work with internal departments to mitigate delivery issues so that we continue to delight our customers
  • Maintain accurate customer account information in the company’s ERP system and make changes to the account information when required.
  • Manage the terminal key & card access inventory. Assign keys/cards to drivers and collects keys/cards from drivers upon termination of employment.
  • Compliance & Miscellaneous:
  • Monitor our compliance with all federal, state & local regulations including DOT hours of service.
  • Monitor the daily product loading procedures according to with any special price deals and low rack pricing. Directs delivery drivers to load from specific terminals to take advantage of product & price specials/breaks.
  • Performs other tasks & duties as assigned or required.
  • During peak business periods and/or extreme weather conditions, may be required to work an atypical schedule or work in other capacities within the organization.
