Executive Administrative Assistant Job Description
We are looking for a new Executive Assistant to support our team. You will manage business-related tasks for the team such as creating reports, organizing Executive Director's schedule, donor and fundraising activities. Respond to partners, schedule meetings, and residential tours, attend meetings, and other organizational events. The candidate must be detailed oriented and skilled at using Google and Microsoft Office Suites. He/She must be self-motivated, flexible and capable of making adjustments on short notice, task oriented and able to problem solve.
Executive Admin. Responsibilities:
The responsibilities of the position include but are not limited to the following: Act as the administrative point of contact between ED and internal/external demands. Undertake the tasks of receiving calls, taking messages, and routing correspondence. Handle executive requests and queries promptly and appropriately. Conserve executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information, initiating telecommunications. Maintain the executive’s appointment schedule by planning and scheduling meetings, conferences, zoom conferences, and travel. Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Maintain confidence and protect operations by keeping information confidential. Prepare reports by collecting and analyzing information. Provide historical reference by developing and utilizing filing and retrieval systems, and databases. Work independently, comfortable communicating with the Board or Directors, and staff. Explore growth opportunities, and take initiative to explore partnerships. Attend and or facilitate meetings. Ensure information and requests are handled in a timely, efficient, and professional manner. Other duties as assigned by the Executive Director. Preparing financial statements, reports, memos, invoices letters, and other documents. Manage organization's calendar.
Executive Assistant Requirements:
Proven experience as an executive assistant or other relevant administrative support experience.
In-depth understanding of MS and Google suites.
High school diploma and college degree preferred.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced, quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
Job Type: Part-time
Pay: $12.96 - $30.36 per hour
