Carnegie Hall is Hiring a Public Relations Assistant Near New York, NY

Provide administrative support to Carnegie Hall’s Public Relations office. Serve as frontline liaison with public and media, providing departmental phone coverage, fielding questions, and responding to requests as needed. Serve as Cision system administrator, coordinating and building media contact lists, collecting coverage, preparing daily press clip reports, and maintaining electronic clip files. Coordinate frequent electronic press release mailings, including HTML coding of materials. Manage day-to-day operations of media web site. Coordinate Public Relations office systems, including processing of departmental invoices. Assist department directors, managers, and associates as needed. Proofread materials as assigned, and participate in preparations for major announcements and special events. Some press duty, including escorting photographers/video crews and staffing special events as needed. Bachelor degree or equivalent required (Public Relations/Communications, Music/Arts Administration, Journalism, or English majors preferred); Office experience in media relations or related field a plus; Computer knowledge, including HTML; Superior phone manner and etiquette; Excellent organizational skills with ability to prioritize and multitask; Comfortable working with budgets/numbers; Knowledge or interest in classical music; Desire to work as part of a team in fast-paced office environment. Must be available to work evenings, weekends, and some holidays if needed. 3) Describe Essential Functions of the Position 25% Serve as departmental frontline liaison with public and media, providing departmental phone coverage; fielding questions via phone and general public relations e-mail in-box, and coordinating RSVPs for special events. Respond to intradepartmental requests as needed. 25% Serve as Cision system administrator, coordinating creation and maintenance of media contact lists, and collecting/preparing daily electronic distribution of Carnegie Hall press clips to institution. Maintain departmental subscriptions and circulate publications within the department. Complete paste-ups and scans of key articles. Maintain clip files and work with publicists to create clipbooks for special projects. 25% Responsible for frequent departmental mailings of media materials, including HTML coding of press releases and some assembly/mailing of hard press kits. Manage day-to-day operations of media web site. 15% Provide administrative support to Carnegie Hall’s PR office team, including coordinating systems for computers, phones, supplies, mail, and office files. Assist with press ticketing for concerts and events as needed. Process and track departmental invoices, working with CCO to maintain accurate budget information and forecasts. Assist with scheduling departmental meetings and occasional support coordinating CCO’s calendar. Must be able to work independently. 5% Proofread materials as assigned. Participate in planning for season announcement and other major events. 5% Some concert duty as assigned. Escort photographers/video crews and staff special events as needed.
