Capella University is Hiring a Senior Event Coordinator Near Minneapolis, MN

This position is responsible for partnering with a variety of stakeholders to support, plan and coordinate university and corporate events. These events may include in-person, virtual or hybrid experiences designed to build a sense of community and increase brand awareness. At university and corporate events, the SEC will provide support to attendees which may include assisting leadership, faculty, staff and/or learners/students, coordinating session schedules and audio/visual needs, participating in (and potentially leading) set-up and tear-down, assisting with registration, partnering with third party vendors and hotel staff, and executing on other responsibilities as assigned by his/her leader. Essential Duties & Responsibilities: Contribute to and support execution of Events Team strategy by innovating and planning events that build community and increase brand awareness for the university and/or SEI. Assist in planning and execution of events (residencies, commencement, and corporate or other university events) including but not limited to meeting project deadlines, developing event schedules and collateral, set-up and facilitation of travel bookings for employees, as appropriate, set-up and tear-down for in-person events, overseeing printing, packing and shipping of materials and supplies, and working with third party vendors. Facilitate organization of storage space at Capella Tower including tracking of inventory and replenishing supplies, as needed. Respond to inbound emails in shared team mailboxes. Maintain and update Campus pages related to events. Maintain team SharePoint sites and update information/resources, as needed. Track and ensure timely submission of invoices. Act as delegate to review and approve expense reports for events; assist faculty and/or internal employees with expense reports, as needed. Other responsibilities, as assigned by leader. Job Skills: Excellent written and verbal communication skills and ability to interact in a professional and concise manner with faculty, staff and vendors. Excellent relationship-building, customer service, and problem-solving skills. Must be proficient in Microsoft Office, particularly Word, Excel and PowerPoint. Demonstrated event or project management skills. Strong attention to detail, initiative and follow-through. Strong organizational skills. Demonstrated ability to support multiple events or initiatives and successfully prioritize with good judgment. Able to serve as team representative/advocate on diverse cross-functional teams. Demonstrated ability to remain calm under pressure and maintain a professional demeanor at all times. Work Experience: 2 – 3 years of experience leading projects or working as part of a cross-functional team. Minimum 4 years customer service experience. Education: Bachelor’s degree from an accredited institution required. Other: Must be able to travel up to 30% of the time. Length of each trip varies from overnight to 8 days depending on the nature of the event and frequently requires travel over the weekend. Must live locally to the Minneapolis/St Paul area and be able to commute to/from Capella Tower in Minneapolis. Must be able to lift 50lbs. Travel via plane, car, and metro may be required to perform this job. Must be able to work more than 40 hours per week when business needs warrant. Access information using a computer. Effectively communicate, both up and down the management chain. Effectively cope with stressful situations. Strong mental acuity.
